Job Overview
We are seeking a highly organized and professional Administrative Assistant to support our office operations. This role is vital in ensuring smooth daily functions, providing exceptional customer service, and maintaining efficient administrative workflows. The ideal candidate will possess strong computer literacy, excellent organizational skills, and experience in office management or clerical support. Bilingual abilities are a plus to assist diverse client interactions. This position offers an opportunity to work in a dynamic environment where attention to detail and multitasking are essential.
Duties
- Manage office responsibilities, including greeting potential employees interested in employment (employment application process, providing applications, collecting proper documents and scheduling interviews) minimal phone calls.
- Handle data entry (keying trucking tickets, filing documents, creating and answering emails, scanning and/or printing and document proofreading to ensure accuracy
- Utilize Microsoft Office Suite, Google Workspace, and QuickBooks for various administrative tasks including invoicing and reconciling accounts.
- Support calendar management and schedule appointments or meetings as needed.
- Assist with minimal bookkeeping, invoicing, and basic office management tasks
- Provide customer support via phone (minimal), email, or in person, ensuring excellent service etiquette
- Maintain organized records and ensure timely follow-up on correspondence and inquiries
- Perform general clerical duties such as typing, photocopying, and faxing documents
Skills
- Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent phone etiquette and customer service skills
- Experience with QuickBooks or similar accounting software is required
- Bilingual communication skills are advantageous for diverse client interactions
- Office management experience including calendar management and filing systems
- Ability to handle multiple tasks simultaneously with strong time management skills
- Attention to detail for proofreading documents and data entry accuracy
- Familiarity with minor human resource receptionist duties is a plus but not required
- Personal assistant experience or clerical background highly desirable
- Knowledge of office equipment operation such as printers, scanning

Job Type: Full-time
Pay: From $18.00 per hour
Expected hours: 30 – 40 per week
