Position Description:Under the guidance of the Director and the Associate Director of Compliancethe Compliance Administrative Assistant supports the compliance department by performing administrative, clerical, and organizational tasks to help ensure the company adheres to legal, regulatory, and internal policy requirements. This role assists with documentation, audits, reporting, and communication to maintain an effective compliance program.
Primary Duties/ Responsibilities
- Maintain and organize compliance documents, records, logs, and databases.
Assist with the preparation, formatting, and distribution of compliance reports.
Update & Create necessary forms for compliance Team
Do data entry of all files into excel spreadsheet for all compliance analyst
Support internal and external audit processes by gathering documents and coordinating schedules.
- Monitor deadlines for regulatory filings, certifications, and required training; send reminders and
track completion.
- Prepare meeting agendas, take minutes, and distribute follow-up tasks for compliance-related
meetings.
- Research basic regulatory guidelines and summarize findings for compliance staff.
- Help update internal policies, procedures, and compliance manuals.
- Process and track incident reports, complaints, or policy violations.
- Maintain confidentiality of sensitive business, employee, and regulatory information.
- Coordinate training sessions and maintain training attendance records.
- Serve as the point of contact for compliance inquiries and direct them to the appropriate
personnel.
Minimum Requirements
- High school diploma required; associate or bachelor's degree preferred.
- 1–3 years of administrative experience (compliance, legal, HR, or regulated industries preferred).
- Strong organizational skills and attention to detail.
- Excellent written and verbal communication skills.
- Ability to maintain confidentiality and handle sensitive information.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) and document management
systems.
- Ability to multitask, prioritize, and meet deadlines.
- Familiarity with compliance or regulatory concepts is a plus
Preferred Requirements
- Must be computer literate with working knowledge of Excel, Adobe (PDF) Writer, Word and OneSite (Property Management software).
- Excellent Customer Service skills

- Ability to follow direction and provide oversite to critical reporting deadlines
- Excellent mathematical and analytical abilities

Working Conditions
General office environment. Work is generally sedentary in nature but may require standing and walking for up to 10% of the time. The working environment is generally favorable. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. Work is generally performed within an office environment, with standard office equipment available.
Physical Requirements
General office-based demands including remaining in the seated position with occasional standing and walking.
Compensation
$ 19.50/hour
