Job Overview
777 Ranch is seeking a dependable and detail-oriented Office Administrator to join our team. This role is ideal for someone who enjoys working with people, thrives in an organized office environment, and can manage a variety of administrative tasks with professionalism. The Office Administrator at 777 Ranch plays a key role in ensuring our guests have a smooth, professional, and enjoyable experience from the moment they arrive. This position supports the back office, kitchen, housekeeping, guides, and management teams by handling daily administrative tasks and helping to keep operations running efficiently.
You will be the first point of contact for clients—checking them in, reviewing paperwork, answering questions, and assisting with scheduling. Accuracy and professionalism are essential, as you will be handling invoices, payments, spreadsheets, and reservation confirmations.
This role also includes day-to-day operational support such as purchasing groceries for our kitchen staff from the local H-E-B, picking up mail from the post office, maintaining inventory, and helping with any clerical needs that arise. The ideal candidate is someone who enjoys variety in their day, can stay organized in a fast-moving environment, can be flexible with hours, and works well with both clients and staff.
Key Responsibilities
- Build and maintain strong client relationships to encourage repeat business.
- Assist clients with paperwork and ensure they are welcomed professionally.
- Generate and send invoices on the day of client checkout.
- Prepare and send proposals to potential clients.
- Book hunts and coordinate scheduling.
- Process payments.
- Manage daily office operations, including filing, data entry, and other clerical duties.
- Oversee front desk functions, such as greeting visitors and handling incoming calls.
- Provide general administrative support to management as required.
Qualifications
- Previous experience in an administrative or clerical role is preferred.
- Excellent organizational skills with the ability to handle multiple tasks at once.
- Strong written and verbal communication skills.
- Friendly, professional, and comfortable working directly with clients.
- Proficiency with office software (e.g., Microsoft Office Suite).
- Ability to work both independently and collaboratively in a team environment.
- Detail-oriented with a strong focus on maintaining accuracy.
- Flexible and dependable
