As a Project Coordinator, you will support a dynamic team of architects and engineers by managing the flow of project information and ensuring quality, consistency, and exceptional service. You will support administrative functions across the project lifecycle, scheduling, documentation, and project coordination, while also serving as a professional presence at our reception desk. You will contribute directly to the performance and client experience of high-impact, interdisciplinary projects.

Deliver Results
  • Coordinate the daily flow of team communications and information, internally and externally.
  • Schedule and support project meetings, including agendas, minutes, and calendar coordination.
  • Manage and organize client contact details, project files, and insurance certificates.
  • Prepare contracts using AIA software and maintain specifications using BSD SpecLink.
  • Provide project administration support during all phases: design documentation, bidding, construction, and closeout.
  • Track and process proposals, submittals, and RFIs in coordination with project teams.
  • Create and review technical documents and correspondence for clarity, grammar, and formatting.
  • Maintain accurate project data in Deltek Vision and support project setup, including numbers, budgets, and schedules.
  • Support business development efforts by tracking opportunities in Deltek CRM and assisting with proposal editing.
  • Professionally staff the reception desk during assigned shifts—greeting visitors and managing incoming calls.
  • Qualifications
  • High school diploma required; associate or bachelor's degree preferred.
  • Minimum of three years of administrative or project support experience; prior experience in an architecture, engineering, construction, or professional services environment is highly desirable.
  • Strong organizational skills, attention to detail, and professional communication across all levels of a team.
  • Proficient in Microsoft Office Suite, especially Word, Excel, and Outlook; experience with Deltek Vision, SharePoint, and Microsoft Teams preferred.
  • Experience with AIA contract software and BSD SpecLink is a plus.
  • CSI-CDT certification preferred (or willingness to obtain with company-provided training).
  • Client service mindset with the ability to remain adaptable in a fast-paced, collaborative setting.
  • Demonstrated ability to manage competing priorities, maintain confidentiality, and support multiple team members and projects simultaneously.
