We are seeking an energetic and detail-oriented Front Desk Receptionist to be the welcoming face of our organization. Responsibilities

  • Greet visitors, clients, and staff with professionalism and warmth, creating a positive first impression
  • Manage multi-line phone systems, screen calls, and direct inquiries efficiently using proper phone etiquette
  • Handle incoming correspondence, including emails and mail distribution, ensuring timely responses
  • Maintain organized filing systems, data entry records, and manage document proofreading for accuracy
  • Support appointment scheduling and calendar management for team members or departments
  • Assist with office management tasks such as supply inventory, room bookings, and general administrative support
  • Utilize computer skills across Microsoft Office Suite and Google Workspace to prepare reports, spreadsheets, and presentations
  • Perform clerical duties including typing documents, proofreading materials, and maintaining accurate records
  • Provide customer support by addressing inquiries promptly and professionally in person or over the phone
  • Support bookkeeping activities using QuickBooks or similar accounting software when necessary

Qualifications

  • Proven office experience with strong organizational skills and attention to detail
  • Excellent computer literacy including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace tools
  • Prior clerical or administrative experience preferred; experience as a medical or dental receptionist is a plus
  • Strong customer service skills with the ability to handle multiple tasks efficiently under time constraints
  • Bilingual abilities are highly desirable to serve diverse client populations effectively
  • Familiarity with multi-line phone systems and phone etiquette standards
  • Ability to perform data entry accurately with good typing speed and proofreading skills
  • Knowledge of office management practices such as filing systems and calendar management
  • Personal assistant or medical receptionist experience is advantageous but not required
  • Demonstrated ability to manage time effectively while juggling various responsibilities
