Meet the team:
The Real Estate and Workplace Services Team (REWS), is an integral cross-function support team comprised of Facilities, Security, Logistics, Asset Management, and Real Estate groups. The REWS team is responsible for internal and external site coordination across all Latitude locations, as well as support for employees and external guests. The REWS Facilities Coordinator II role will support operations in the Pittsburgh office, actively managing REWS responsibilities and requests in a timely fashion.
What you'll do:
- Facility Coordination: Manage daily Facility operations and requests including, but not limited to general maintenance coordination, food service, vendor coordination, support tickets, etc
- Preventative Maintenance Execution: Perform routine preventative maintenance tasks, including inspections and upkeep of drains, ladders, fire extinguishers, and other critical facility equipment
- Operational/Capital Projects: Lead cross-functional projects effectively with limited support with a high degree of accuracy and focus, while coordinating the broader scope, schedule and budget in a proactive and transparent manner
- Office Seating Audits: Conduct regular audits of office seating assignments to verify accuracy, identify unrecorded moves, and update office maps as necessary
- Desk & Seating Area Maintenance: Regularly clean and clear desks and seating areas, removing abandoned items from hoteling desks and ensuring workspace cleanliness
- Onboarding & Offboarding Support: Set up workstations for new hires, reset desks after employee exits, confirm new hire starts, and manage parking arrangements related to onboarding and offboarding activities
- Reception Coverage Support: Provide additional coverage as needed for reception functions, including answering office phones, welcoming visitors, and supporting a positive experience for interview candidates and office guests
- Daily Facility Walkthroughs: Execute daily walkthroughs to assess and address physical security and facility issues, ensuring operational standards are consistently met
- Physical Security: Perform light physical security duties as needed, including site safety check, physical space inspections, badging support, checking locks, etc
- Site Support: Applicant will work with other Latitude staff locally and coordinate with staff across various sites. Applicant will mentor other REWS Team members in Facilities subjects, while aligning with REWS Leads/Management
- Supply Procurement & Stocking: Manage supply ordering from vendors such as Amazon and Staples for the 3C and Depot sites, as well as provide additional procurement support for other sites and events
- Logistics Support: Provide additional support for REWS team members as it relates to shipping and receiving order fulfillment, stocking, asset preparation, etc
- Inventory Management: As requested, provide support with inventory management, asset disposal, recycling, e-waste, etc. Additionally, additional responsibilities may include cycle counting, system auditing, and inventory adjustments
What you'll need to succeed:
- Bachelor's degree with two years of employment experience required. In lieu of a Bachelor's degree, an Associate's degree with four years of employment experience or a High School Diploma or GED equivalent with six years of employment experience required
- 3-5 years of experience in an operations, or facilities environment
- Strong knowledge of facilities management and preventative maintenance practices and industry standards
- Strong attention to detail and organizational skills
- Experience with service ticketing and asset control systems
- Ability to manage multiple tasks and priorities efficiently in a dynamic environment
- Basic ability to perform inventory cycle counts, adjustments, and order fulfillment with a high degree of accuracy
- General understanding of inventory management systems such as Fleetio, Insight, or comparable platforms
- Strong communication and interpersonal skills, with the ability to work cross-functionally with various teams
- Ability to lift, move, and organize inventory and office equipment as required (up to 50lbs)
- Proficiency in Microsoft Office or Google Suite and comfort working with digital tools and systems
