About the Role

We're looking for a proactive, detail-oriented Procurement Specialist to join our growing team. In this role, you will play a key part in managing vendor relationships and supporting the successful purchase of custom and standard furniture, construction materials, general moving supplies, tools, and office essentials.

This position is fast-paced and hands-on — perfect for someone who enjoys juggling multiple projects, working with both internal teams and external vendors, and driving results through smart, organized processes.

What You'll Do

Working in Microsoft Business Central (BC365) and other integrated systems, you will ensure orders are placed accurately, timelines are met, and project needs are supported from start to finish. You'll be part of a highly collaborative team and will need to communicate clearly across departments to keep things moving. This position works under limited supervision of the Procurement Supervisor.

Essential Duties & Responsibilities

Procurement & Vendor Management

  • Manage day-to-day communications with vendors on open purchase orders
  • Accurately enter orders and create purchase orders in a timely manner
  • Confirm acknowledgments align with POs (costs, specs, lead times, etc.)
  • Track open POs and resolve discrepancies or issues as they arise
  • Negotiate and follow up on vendor lead times to support project schedules
  • Help coordinate shipments and deliveries, including direct-to-site or warehouse

Project Support & Internal Collaboration

  • Monitor and communicate changes in delivery dates or materials
  • Reconcile vendor quotes with construction and design team expectations
  • Support punch list and warranty processes (damaged or missing items)
  • Adjust orders as needed to reflect customer changes or project add-ons
  • Work closely with Project Managers, Design, and Construction teams to ensure alignment

Systems & Documentation

  • Maintain accurate records in BC365 and project tracking tools
  • File all order-related documents (acknowledgments, packing slips, BOLs)
  • Assist in documenting processes, SOPs, and procurement standards
  • Provide input on improving procurement workflows and vendor performance

Additional Responsibilities

  • Help resolve invoice or pricing discrepancies with the Accounting team
  • Request vendor quotes as needed for new or updated project needs
  • Support continuous improvement efforts across the supply chain
  • Assist in tracking key metrics like on-time delivery and inventory dwell time

Required Qualifications

  • At least 1 year of procurement, purchasing, or related experience
  • Strong working knowledge of Microsoft Outlook, Excel, and Word
  • Clear written and verbal communication skills
  • Organized, detail-oriented, and strong ability to manage multiple priorities
  • Strong critical thinking and basic financial analysis skills
  • Collaborative and solutions-focused mindset

Preferred Qualifications

  • College degree in business, supply chain, or related field
  • 3–5 years of general procurement or vendor management experience
  • Familiarity with construction material buying
  • Experience working with BC365 or similar ERP systems

Job Type: Full-time

Pay: $55, $70,000.00 per year
