CONTRACT:
Full Time, Permanent, 35 hours, in office every day and 4 days working from home per month
JOB FUNCTION:
To support the Commercial Sales team in delivering exceptional, bespoke experiences for prospective commercial partners. The role plays a key part in the sponsorship-sales process – coordinating logistics, creating personalised hosting moments, and ensuring a premium brand experience for decision‑makers from target companies. The Sales Coordinator will manage internal scheduling and logistics, prepare briefing profiles on attendees, oversee the accuracy of sales pipeline reporting, and lead on gifting and hospitality activations that enhance sponsorship conversations.

Play Your Part (Main Responsibilities)
Arranging Coordinate “white glove” matchday and non‑matchday experiences for priority sales leads and brand executives, ensuring every detail reflects Chelsea’s premium positioning.
Manage guest lists, hospitality invitations and ticketing for prospective partners; ensuring accuracy of attendee details, job titles, and preferences.
Write concise internal attendee profiles ahead of matchdays and partner visits, summarising who should attend, their relationship to Chelsea, and relevant brand or personal insights to inform senior executive hosting.#
Own the gifting catalogue and relationships with premium suppliers for VIP clients, ensuring appropriate stock levels, presentation quality, and cost control.
Maintain agendas and take minutes for executive‑level commercial meetings, ensuring timely circulation and follow‑up actions
Coordinate travel and accommodation (domestic and international) for client visits, sponsorship meetings, and brand activations on behalf of the sales team
Manage brand gifting and creative touchpoints for sales pitches across multiple commercial assets, working closely with internal design, retail and operations teams
Monitor CRM compliance by checking that sellers have updated their opportunities, prompting them where needed, and pulling summary reports for distribution
Arrange premium restaurant bookings, hospitality spaces, and hosting logistics for client dinners and meetings.
Manage internal meeting and conference room bookings, including refreshments and presentation set‑up
Raise purchase orders, manage supplier invoicing, and process expenses on behalf of the sales team in accordance with club policy.

Positive feedback from hosted brands, partners, and internal stakeholders
Person Specification Qualifications
Strong organisational and administrative background, ideally within sport, entertainment or premium brand environments
Experience
Demonstrated experience coordinating VIP or executive‑level events or hospitality.
Background in sales support, sponsorship, or client service within a high‑performance commercial team
Familiarity with CRM systems desirable but not essential
Skills and Behaviours
Meticulous attention to detail and pride in presentation standards
Excellent written and verbal communication skills, including the ability to produce clear internal profiles and professional correspondence
Highly organised with the ability to manage multiple priorities and stakeholders
Confident liaising with senior executives and brand representatives in high‑profile environments
Creative and resourceful in designing bespoke client experiences and gifting solutions
Calm and solution‑oriented under pressure, with strong follow‑through
Upholds confidentiality, discretion, and professionalism at all times
25 days annual leave (+ Bank Holidays) After three years’ service, AL days increase to 28.
