General Overview

We are seeking a full-time Administrative Coordinator to support the Vancouver Academy. This role involves managing multiple responsibilities, using a variety of software tools, maintaining records, and supporting organizational strategies. The ideal candidate will provide strong administrative, organizational, and information-management support.

Qualifications
  • Post-secondary degree in a related field (business administration, arts administration, communications), or equivalent experience.
  • 3+ years of experience in a similar support role.
  • Excellent verbal and written communication skills.
  • Strong ability to manage priorities and deadlines in a fast-paced environment.
  • Comfortable with technology: Microsoft Office 365, G-Suite; Canva or Adobe Creative Suite is an asset.
  • Creative, solutions-focused thinker who seeks answers proactively.
  • Flexible, adaptable, and attentive to detail.
  • Strong customer-service mindset and ability to deliver high-quality work.
  • Excellent presentation skills.
  • Proven ability to prioritize, multitask, and manage competing deadlines.
  • Desire to grow with Goh Ballet and take on increasing responsibility across diverse functions.


Key Responsibilities


Project & Administrative Support
  • Provide full administrative services, including communication with parents and adult students, registrations, invoicing, word processing, travel arrangements, confidential filing, and handling written/phone correspondence.
  • Research, route, and draft correspondence; prepare documents; collect and analyze information; initiate communications.
  • Maintain strong organizational and time-management systems and assist with process improvements.
  • Prepare budgets; reconcile and track income/expenses.
  • Support administrative team tasks such as data entry, registrations, invoicing, and tracking.
  • Assist with special tasks as delegated by the Directors, such as:
  • Annual recruitment and retention initiatives
  • Events, presentations, and productions
  • E-blast and monthly e-news communications
  • Support the wardrobe department by bridging artistic and administrative needs related to productions and events.
  • Manage special projects (e.g., examination entries, third-party communications) and coordinate across departments and external organizations.


Operations & Facilities Management
  • Oversee facility cleaning, hygiene, safety, and maintenance; maintain asset tracking.
  • Ensure meeting rooms are booked and prepared with required equipment and refreshments.
  • Assist with IT infrastructure: hardware, software, security, connectivity, troubleshooting, and maintenance.
  • Manage relationships with vendors.


Salary & Benefits
  • Salary: $50,000+ (dependent on experience)
  • Paid vacation, wellness package, sick days, and time-in-lieu
  • Start Date: Immediate
