The Assistant Property Manager (APM) plays a key administrative and resident-support role within our condominium management team. Reporting to the Property Manager, the APM supports daily operations, financial administration, communications, and vendor coordination to ensure efficient management and exceptional resident service.

Primary Responsibilities
Resident & Board Relations
· Professionally and courteously respond to resident inquiries, requests, and concerns.
· Maintain a positive and community-focused presence onsite or via communications.
· Support the Property Manager with Board communications and meeting preparations.
· Assist with resident onboarding and amenity/service orientation.
Administrative Support
· Maintain accurate and organized records including owner information, status changes, work orders, and communication logs.
· Provide administrative assistance including document preparation, notices, mail distribution, meeting minute formatting, and electronic filing.
· Create and track purchase/work orders and coordinate vendor access and scheduling.
· Support the preparation of AGM packages, budget mailings, and related documents.
Operations & Maintenance
· Monitor and follow up on maintenance and service requests with vendors and onsite teams.
· Ensure contractor performance meets condominium service expectations.
· Assist with the coordination of regular inspections, resident communications, and operational notices.
Finance & System Support
· Process invoices accurately and in a timely manner.
· Assist with arrears follow-ups according to standard procedures.
· Support preparation of financial reporting for Property Manager review.
· Utilize condominium management systems such as Yardi, Condo Control, BuildingLink, or similar.
Compliance & Building Standards
· Ensure residents are informed of condominium rules, bylaws, and procedures.
· Support emergency procedures and communication protocols as directed.
· Maintain confidentiality and handle sensitive matters with discretion.
Qualifications
· Minimum 1 year experience in condominium administration, property management, or related customer service role.
· Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) required.
· Experience with property management software such as Yardi/Condo Control/BuildingLink considered an asset.
· Strong written and oral communication skills with a professional and courteous manner.
· Highly organized with strong time-management skills and ability to multitask.
· Knowledge of condominium governance and Board relations considered an advantage.
· Enrollment in CMRAO courses or desire to pursue licensing is an asset.
