Job Title:

Executive Assistant

Job Summary:

We are seeking a highly organized and proactive Executive Assistant (NOC 12100) to provide comprehensive administrative support to our executive team. The successful candidate will play a crucial role in managing schedules, coordinating meetings, and handling confidential information, ensuring the smooth operation of the executive office.


Key Responsibilities:

Calendar and Meeting Management:

  • Manage and maintain executive schedules, including organizing meetings, appointments, and travel arrangements.
  • Prepare agendas, minutes, and follow-up actions for meetings.

Administrative Support:

  • Draft, review, and edit correspondence, reports, and presentations on behalf of the executive team.
  • Handle incoming and outgoing communications, ensuring they are prioritized and addressed appropriately.

Event Coordination:

  • Plan and coordinate events, conferences, and business meetings, including booking venues and managing logistics.

Confidentiality and Records Management:

  • Maintain and safeguard sensitive and confidential information.
  • Organize and maintain electronic and physical filing systems.

Liaison Role:

  • Act as the point of contact between the executive team and internal/external stakeholders.
  • Build and maintain professional relationships with clients, vendors, and partners.

Project Assistance:

  • Support special projects by conducting research, preparing reports, and ensuring deadlines are met.
  • Monitor and report on project progress.


Qualifications and Skills:

Education and Experience:

  • Bachelor’s degree required (any field of study is acceptable).
  • Demonstrable experience as an Office Administrator or similar role is required.
  • Minimum of 2 years of experience in a role providing executive-level support.
  • Technical Skills:
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with project management and collaboration tools is an asset.

  • Strong written and verbal communication abilities.
  • Attention to detail and problem-solving skills.
  • Ability to manage multiple priorities in a fast-paced environment.

Employment Details:

  • Position Type: Full-time, Permanent
  • Location: (Whitehorse, Yukon, Canada)
  • Work Hours: 40 hours; Monday to Friday; 8:30 am to 5:00 pm.
