This post will sit onsite across all ACM campuses (currently Guildford, London and Birmingham).
Purpose of the Role The Head of Recruitment is responsible for leading ACM’s student recruitment performance across all campuses by owning the full recruitment pipeline, managing CRM and data systems, and driving conversion optimisation through insight‑led decision‑making. This role provides matrix leadership to the three Outreach, Recruitment & Events Managers and an Admissions Manager, ensuring a seamless journey from prospect to enrolment.
Key Responsibilities Recruitment Pipeline Leadership
Own performance of the entire recruitment pipeline: awareness → prospect → applicant → audition → offer → enrolment.
Monitor and manage daily/weekly pipeline health across all campuses.
Identify conversion drop‑off points and implement corrective action plans.
Ensure Outreach Managers maintain timely, consistent communication with prospects.
Accountable for delivering prospect to applicant targets - applicant to enrolled student targets.
Coordinate national strategies to boost applications, audition attendance and enrolment conversion.
CRM, Systems & Data Ownership
Act as system owner for all recruitment systems, including:
HubSpot CRM – pipeline configuration, automations, dashboards.
Insight (FileMaker) – define recruitment data requirements and reporting specifications.
Event capture systems, website form integrations and all prospect data flows.
Lead system integration plans to reduce duplication and improve data continuity.
Maintain centralised dashboards for SLT, Marketing and Admissions.
Ensure data accuracy, reporting consistency and compliance with GDPR.
Matrix Leadership of Outreach Team
Provide KPI direction and performance oversight to the three campus Outreach, Recruitment & Events Managers.
Set, monitor and review monthly targets for each stage of the pipeline:
Leads generated
Leads → Applications
Applications → Auditions
Auditions → Offers
Offers → Acceptances
Acceptances → Enrolments
Ensure consistent outreach delivery quality, CRM usage and applicant support across campuses.
Deliver coaching, insight, and performance feedback to outreach staff.
Collaboration With Admissions
Work collaboratively with the Admissions Manager to support audition planning, applicant flow, and offer‑volume forecasting.
Share real‑time pipeline data to inform staffing and scheduling requirements.
Ensure Outreach follow‑up processes support regulatory timelines (UCAS, UKVI, OFS, CMA).
Coordinate surge support from Outreach during peak admissions periods.
Performance Reporting & Forecasting
Create and deliver recruitment and outreach strategy.
Produce weekly, monthly and quarterly recruitment performance reports.
Lead forecasting for applications, auditions, offers and enrolments.
Provide data insights to Marketing to optimise campaign performance.
Present trends and strategic recommendations to senior leadership.
Give projected student numbers for FTE and sessional staffing modelling.
Accountability & reporting on competitor activity & products.
Seasonal Support Management
Oversee recruitment surges during peak periods January–March and August–January.
Direct Outreach Managers on priorities, campaign alignment and applicant follow‑up during peaks.
Ensure strong daily contact volume, high audition attendance and timely offer engagement.
Authority & Boundaries
Pipeline authority: Full authority to design, manage and enforce recruitment pipeline processes.
Systems authority: Full ownership of CRM, reporting and recruitment data requirements.
Event influence: Works with Outreach Managers to optimise event‑driven conversions.
Matrix leadership: Provides direction and performance management to Outreach Managers without HR line‑management responsibility.
Manage the recruitment events calendar, including attendance at events where applicable.
Person Specification
Significant experience in student recruitment, CRM management or conversion‑driven environments.
Strong analytical skills with the ability to interpret and act on complex data.
Proven experience owning CRM systems (HubSpot preferred).
Experience leading teams through influence and matrix structures.
Excellent collaborator with strong communication skills.
Highly organised, performance‑driven and confident managing multiple KPIs.
Desirable
Knowledge of FE/HE recruitment cycles, UCAS and UKVI processes.
Experience with FileMaker/Insight or other SIS/CRM integrations.
Understanding of creative industries or ACM courses.
