NAIT's Office of Student Conduct and Accountability (OSCA) seeks a relational, adaptable, and detail-oriented Operations Administrative Assistant to ensure smooth coordination of our Academic Integrity and CARE Teams. Reporting to the Academic Integrity Supervisor, the Operations Administrative Assistant position is instrumental in supporting the coordination of the work of Academic Integrity, Academic Misconduct, and the CARE (Concern, Assessment, Response, Engagement) Team.

Key Responsibilities:

Meeting Coordination

  • Coordinates department/program/business unit meetings for the Manager and Academic Integrity Supervisor including the CARE Team.
  • Coordinates meetings concerning OSCA and CARE matters as well as Academic Integrity concerns.
  • Prepares agendas, itineraries, meeting notices and related materials using own judgment and initiative; ensures deadlines are met and agenda items brought forward.
  • Records minutes and processes meeting minutes as required/identified.

Record Keeping & Case Management

  • Maintains and enhances a record management system and filing of materials for department, program, or business unit which may include:
    • Records of Academic Misconduct investigations, decisions, and outcomes.
  • Records from CARE (Concern, Assessment, Response, Engagement) processes including concerns of worrisome behaviour, risk ratings, and applied interventions.
  • Preparing case document packages for Academic Integrity, Associate Dean, or Dean review
  • Preparing of CARE files for the CARE Team
  • Records, tracks, and follows-up on action items and recommendations arising from Academic Misconduct.

Communications and Student Support

  • Coordinates the operational administrative activities OSCA functions within their portfolio, which may include:
    • Assessing and assigning workload to the Academic Integrity Support roles
  • Providing all necessary cross functional administrative support
  • Provides continual communication in support of student success by notifying students of decisions, answering questions concerning academic integrity, the academic integrity course, academic misconduct processes, grade reappraisal processes, etc.
  • Provides clear written communication through memos, minutes, letters, forms, and schedules.

Continuous Improvement and Special Projects

  • Creates and promotes a culture of excellence, cooperation, consultation, and respect both within and beyond the program(s).
  • Collaborates with the broader Office of Student Conduct and Accountability team to identify and engage in continuous improvement initiatives for administrative opportunities to enhance all facets of the team's workflow and the student's experience.
  • Coordinating strategic administrative initiatives/processes which may include: special projects, and Academic Integrity awareness training campaigns.

Skills & Abilities:

  • Exceptional analytical and organizational skills with outstanding attention to detail.
  • Experience working with, organizing, and presenting data.
  • Strong written and verbal communication; able to exercise tact and discretion.
  • Intercultural competence and the ability to work both independently and collaboratively
  • Knowledge of Administrative Decision Making, Procedural Fairness, and Natural Justice
  • Knowledge of duty to accommodate, duty to inquire, and duty of care
  • Prior experience with academic integrity procedures and supports, and/or supporting Faculty governance structures is preferred.
  • Prior experience working with highly confidential information and knowledge of Privacy legislation
  • Prior experience working in areas that support students with diverse needs, including autism, ADHD, learning disabilities, and mental health diagnosis.
  • Knowledge of MS Office suite is essential; strength in the use of Excel is required.
  • Expert level knowledge of computerized applications systems, (i.e. PeopleSoft, Service Now) is desired.

Qualifications:

  • 3-5 years of progressively responsible office experience in an educational setting
  • Experience in post-secondary or higher education, preferably with student conduct, or academic integrity
  • Experience working with behaviour intervention in an educational setting
  • Experience working with highly sensitive information and privacy legislation
  • Grade 12 or equivalent, a diploma is preferred.
  • Equivalencies may be considered.

Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services (WES), International Qualifications Assessment Service (IQAS) or the Comparative Education Services (CES).

Remuneration: $48, $62,451.48 annually, plus a comprehensive benefits package. (Classification – Administrative Support V).

This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement.
