Role Overview
We are seeking a dynamic, organized, and customer-focused Administrative Assistant – Sales & Logistics Support to join our front-office team. You will be the first point of contact for customers, the coordinator of high-value shipments, and the organizational heartbeat connecting sales, production, logistics, and customer support.
This is a front-desk powerhouse role: part sales support, part logistics coordinator, part customer hero. You'll work closely with our Senior Sales Manager, operations team, and production staff to help ensure our products flow smoothly from quote to delivery.
A background in sales support, logistics, customer service, or administration is an asset, but attitude and attention to detail matter most.
Key ResponsibilitiesCustomer & Sales Support
- Serve as the first point of contact for inbound calls, emails, and walk-in customers
- Handle consumer replacement-part inquiries including model identification using our custom GPT tools
- Prepare and send quotes for replacement parts and standard items
- Route commercial, technical, or wholesale inquiries
- Maintain CRM notes and ensure accurate customer data entry
- Support sales reps with document prep, order details, and follow-ups
Logistics & Shipment Coordination
- Track high-value shipments and coordinate with carriers to ensure on-time delivery
- Identify delays or risks early and proactively communicate with customers and internal teams
- Prepare shipping documents, labels, and required paperwork
- Work closely with production and warehouse teams to ensure orders leave the building smoothly
Operational Coordination
- Act as the bridging point between sales, warehouse, production, and installation teams
- Maintain front-desk organization and oversee customer-facing areas
- Assist with scheduling meetings, organizing files, and maintaining general office flow
- Provide administrative support for installation projects as required
Team Collaboration
- Work side-by-side with the Senior Sales Manager for sales pipeline visibility
- Engage with production on order timing, component availability, and customization requests
- Support the entire organization as the central communication node
QualificationsEducation & Experience
- Experience in administrative support, customer service, logistics, or sales support preferred
- Experience with tools such as Google Drive, Sheets, Docs, and Chat
- Familiarity with ERP or MRP systems is an asset
- Experience coordinating shipments or working in a manufacturing setting is an advantage

- Strong attention to detail and follow-through

- Comfortable juggling multiple priorities in a fast-paced environment

- Ability to work independently while being highly collaborative
Physical Requirements
- Ability to work at the front desk in a dynamic workshop/manufacturing environment
- Some light lifting or movement of packages may be required
