We're looking for a highly skilled and proactive Executive Assistant to support our Senior Leadership and drive operational excellence. In this pivotal role, you'll be the go-to expert for managing complex schedules, orchestrating meetings, and ensuring seamless communication across the business. What you can expect to do here:
- You will provide direct executive support to the Vice-President and his leadership team including but not limited to:
- Coordination of daily activities;
- Managing calendars, schedules and meetings;
- Arranging and managing business travels;
- Preparing expense reports and timesheets;
- Coordinating and managing communications;
- Preparing and distributing meeting minutes;
- Preparing business overview and client presentations;
- Supporting the management of operational tasks and initiatives;
- Supporting the preparation and management of business plans;
- Coordinating and leading strategic initiatives (e.g., employee engagement);
- Supporting change management, including implementation of new tools and policies;
- Managing and coordinating sector events and organize internal social functions as required;
- Liaising with corporate departments on various initiatives such as marketing and human resources;
- Assisting with other duties as assigned/required.
What you'll bring to WSP:
- Post-secondary diploma in business administration or a related discipline preferable;
- At least Five (5) years of proven experience supporting an Executive, Director or team of Managers as an Executive Assistant;
- Previous experience working in Proposals and/or Projects an asset;
- Excellent verbal and written communication in both English and French desired;
- Advanced proficiency in Microsoft Office, SharePoint, Power BI and Outlook management skills;
- Ability to multitask, prioritize and effectively meet deadlines;
- Consistently deliver high-caliber, accurate work with a high degree of attention to detail, in a fast-paced environment;
- Strong organizational skills with demonstrated ability to work with minimal supervision;
- Ability to exercise mature judgment and discretion in handling confidential and sensitive information and situations;
- The ability to adapt to changing situations and handle unexpected challenges;
- Be resourceful and with an ability to find solutions independently is highly valued;
- Strong interpersonal skills.
