Reporting to the Manager, Manpower and Tools, the Tool Crib Assistant is responsible for ensuring the accurate and efficient mobilization, demobilization, and management of tools, equipment, and materials; primarily related to Mechanical operations. This role plays a critical part in supporting project teams by maintaining accurate inventory, coordinating deliveries, and ensuring all equipment is safe, functional, and available when needed.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
- Accurately track, monitor, and maintain tool inventory, transfers, and equipment certifications using internal database software.
- Receive, inspect, label, and record incoming tools, equipment, and materials; perform regular inventory audits for accuracy.
- Track and record tool usage, maintenance history, and certification status.
- Inspect tools and equipment for proper function; clean, maintain, and safely dispose of broken items that cannot be repaired.
- Perform basic in-house repairs and parts replacement; coordinate with vendors for repairs outside shop scope (calibration, safety, etc.), order parts and ensure minimal downtime.
- Use marking system to identify and separate broken tools to prevent accidental issue.
- Successfully fulfill and process tool orders sent to tool crib via app, email, and phone. Ensure proper documentation is completed, schedule tool delivery and pickup to/from sites.
- Communicate with project teams to confirm tool availability and high-priority usage, test all tools before deployment to prevent delays or safety issues.
- Coordinate scheduling of flatbed and driver while ensuring fair use and timely delivery is achieved across mechanical and electrical divisions.
- Pick up and drop off vehicles, tools, and materials as needed.
- Operate forklift, scissor lift, and other material handling equipment for warehouse operations.
- Maintain warehouse stock of supplies and PPE need to complete prefabrication, ensure PPE meets safety standards, failed PPE is removed from circulation, and all employees use appropriate safety equipment. Order PPE when required.
- Safely handle and use chemicals for tool cleaning; manage storage and inventory of excess chemicals.
- Maintain a clean, safe, and organized Tool Crib and warehouse; ensure materials are stored in proper areas and labeled accurately.
- Maintain previously formatted spreadsheets for materials, purchases, and pre-built job box templates.
- Receive and complete prefabrication requests from site foremen and project managers, ensuring timely delivery. Most prefabrication involves welding and other metal-related work that requires specialized skills and knowledge.
- Teach and mentor new employees on tool use, safe handling, storage, and potential risks to prevent accidents and injuries.
- Communicate with vendors regarding service quality, upcoming products, repairs, and potential new suppliers; maintain positive working relationships.
- Research and evaluate new vendors for future services and supplies.
- Coordinate with Purchasing Department for required tools, supplies, and materials.
- Complete timesheets with accurate hours, project names, and job numbers and submit to payroll on a weekly basis.
- Communicate across divisions (e.g., job site deliveries, received purchases for sites, storage, inventory) to support business unit needs.
- Monitor interior/exterior of warehouse building, schedule and track facility maintenance.
- Ensure fleet tools are tracked for expiry dates and returned on time to avoid over-billing.
- Maintain accurate and organized computer files, spreadsheets, email inbox, and documentation for easy access and updates.
- Open and close warehouse daily: verify all doors are secured, lights, gases on cylinders, electrical tools, and security are properly shut down.
- Maintain accurate consignment areas, process vendor requests and update spreadsheets accordingly.
- Communicate with employees daily regarding work priorities, supervise high-risk tasks for less experienced staff.

EXPERIENCE, SKILLS & KNOWLEDGE:
- Valid driver's license with a clean driving record.
- Ability to lift/ carry up to 50lbs
- Raymond Reach and Forklift license required.
- High school diploma or equivalent.
- Strong attention to detail with excellent organizational and administrative skills.
- Reliable, self-starter with a strong work ethic; able to work independently as well as part of a team.
- Basic knowledge of mechanical construction, tools, and equipment.
- Experience with basic maintenance and repair of Mechanical construction tools and equipment (preferred).
- Proficient in Microsoft Office (Outlook, Word, Excel) and comfortable learning new software.
- Strong communication and interpersonal skills; able to interface professionally with all levels of staff.
TRAVEL:
- 0-50 % travel may be required for this position.
