Summer Program Coordinator

I am looking for a coordinator to fulfill a July 2026 contract position. 24 Spanish teens aged between and two adult escorts will be coming to the Calgary and surrounding towns for four weeks in July. Total fees paid will be approx $4,400.

Although the candidate can be working at the time this position is filled, the individual is responsible for the following (although this position can be split between two individuals with the fees split between themselves) and under no circumstances can these terms be altered (as they are conditions of the contract we have to the agency as a whole):

Finding 25 to 26 host families (with a few back ups in case of drop outs or issues)

These hosts must be vetted - house visit, police record checked for those over 18, pictures of family, pets, home, bedroom, application and a welcome letter all due by Mid May 2026. Each family needs to be outgoing, can not leave the teens alone for long periods of time, ideally have teens although we accept kids of all ages and at times have had couples who live in a kid filled gated community. The coordinator matches each family to the teens provided keeping in mind if there are allergies or fear of pets etc. A spread sheet of matched families and teens along with relevant contact inf, a file with all info of each family with match is expected by mid may.

There will be the following activities that the coordinator will attend (all costs covered)

1. Airport arrival (ensure each family is there to pick up their teen and take a picture of the meeting to be sent to me asap).

2. BbQ pot luck at a park tba on the first full day after they arrived

3. Trip to Banff to canoe and Johnson canyon to hike (bussed event)

4. Trip to Calgary stampede with rides and rodeo

5. Trip to heritage park

6. White water rafting (bussed event)

7. Trip to coal mine and hoodoos in Drumheller (bussed event$

8. Cabin camping with all food catered for 2.5 days. The coordinator and myself will plan the activities. There has been a budget set aside to pay a few hosts to help drive the kids to the area and back.

9. Lazy boat ride down Bow river with pot luck dining with all host families.

10. Departure at airport

Pay is $155 per family matched and an additional $400 for trips. Parking, meals camping and all trips are covered. Payments adds up to be approx $4400 and as a contractor individual is responsible for claiming on taxes

I have found that when I have selected my hosts thoughtfully, I have had excellent summer programs. I hope to find someone that will enjoy this position as it has been offered yearly
