Client Care Coordinator

Job Type: Part-Time
Compensation: $18- 21/ hour

About the Role

We are looking for a detail-oriented, proactive, and client-focused Client Care Coordinator to support our front desk and administrative operations. This role is essential in creating a seamless, welcoming experience for every client—from their first point of contact to their ongoing care. If you excel at multitasking and enjoy building strong client relationships, this position is for you.

Key Responsibilities/ Client Experience

  • Greet clients warmly and maintain a professional, positive atmosphere
  • Ensure clients feel informed, supported, and valued throughout their visit
  • Address questions and concerns with clarity, compassion, and professionalism

Administrative & Front Desk Duties

  • Manage appointment bookings, schedule changes, confirmations, and cancellations
  • Handle incoming calls, emails, and in-person inquiries
  • Maintain organized and accurate client records
  • Process payments and manage POS transactions
  • Keep reception and waiting areas clean, organized, and inviting

Client Outreach & Retention

  • Pull and review reports to track client flow, follow-ups, and booking trends
  • Conduct follow-up calls to check in on client experiences and aftercare needs
  • Reach out to clients for rebookings, including promoting and scheduling active promotions and special offers
  • Support in driving client retention through proactive communication

Operational Support

  • Collaborate with practitioners and team members to ensure smooth daily operations
  • Assist with inventory checks, supply ordering, and general organization
  • Uphold company policies, standards, and professional expectations
  • Contribute to a positive, team-oriented work environment

Qualifications

  • Minimum 1 year of experience in customer service, reception, or administrative roles
  • Strong communication and interpersonal skills
  • Excellent organizational skills and high attention to detail
  • Comfortable working in a fast-paced, client-focused environment
  • Experience using scheduling systems, CRM tools, or reporting software (training provided)
  • Reliable, professional, and proactive attitude
