Job Summary
We are seeking a bilingual, professional and organized Receptionist/Administrative Assistant to join our team. The ideal candidate will be responsible for managing front desk operations, providing excellent customer service, and supporting administrative functions across various departments. This role requires strong communication skills, proficiency with office software, and the ability to handle multiple tasks efficiently in a fast-paced environment.

Responsibilities

  • Greet visitors and clients in a courteous and professional manner at the front desk
  • Answer multi-line phone systems promptly and direct calls appropriately
  • Manage appointment scheduling and coordinate meetings using Microsoft Office and Google Workspace tools
  • Perform data entry and maintain accurate records using QuickBooks, Excel, and other office software
  • Handle filing, document management, and organization of office supplies
  • Provide exceptional customer support and address inquiries via phone, email, or in person
  • Assist with clerical tasks such as proofreading documents, preparing correspondence, and managing mail distribution
  • Support bookkeeping activities including basic data entry and invoice processing
  • Maintain a clean and organized reception area to ensure a welcoming environment
  • Collaborate with team members to improve office procedures and workflows

Qualifications

  • Proven experience in an administrative or clerical role, preferably in a medical or dental office setting
  • Strong computer skills with proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, and QuickBooks
  • Excellent organizational skills with attention to detail and accuracy in data entry and proofreading
  • Exceptional customer service skills with professional phone etiquette and communication abilities
  • Ability to manage multi-line phone systems efficiently and handle high-volume inquiries
  • Prior experience with filing systems, front desk operations, and administrative support is highly desirable
  • Knowledge of medical or dental office procedures is a plus but not required
  • Strong organizational skills with the ability to prioritize tasks effectively
  • Ability to work independently as well as part of a team in a fast-paced environment
