Website Coordinator

General Description

The website coordinator is proactive and highly organised and takes a diligent and structured approach to maintaining high website standards.
They are responsible for the maintenance and technical improvement of the organisation's website and related platforms. This includes updating content, implementing new technologies, and supporting, planning, and managing projects across the school’s online platforms.
The Website Coordinator is part of the Admissions, Communications and Marketing Team and reports directly to the Director of Admissions, Communications and Marketing.

Main Responsibilities

  • Regularly update the school website with relevant and accurate information, ensuring it reflects the current events, programmes offerings, and staff at the school.
  • Coordinate with different departments (Faculty, Athletics, Club & Activities, Admissions, Marketing, Communications, etc.) within the school to gather updated content, such as news, events, academic programs, extracurricular activities, summer camps, sports schedules, etc., and ensure timely publication on the website.
  • Build and use systemised standard operating procedures (SOPs) using workflow software such as Trello, Asana, Hive to track and manage the updating of all content.
  • Monitor the website's performance and functionality, ensuring it is user-friendly, accessible, and optimised for search engines (SEO).
  • Work closely with the web design and development agency to regularly implement new features, enhancements, and design updates on the website.
  • Troubleshoot technical issues and bugs, collaborating with the IT department or external vendors to resolve problems promptly.
  • Oversee all portals (faculty, parent, student, etc.) to ensure accurate, well-structured, and up-to-date content from all divisions.
  • Maintain ISZL’s e-commerce services and payment platforms.
  • Design and implement online registration and payment forms.

Compliance and Security

  • Ensure compliance with relevant laws and regulations, such as data protection and accessibility standards (e.g., GDPR).
  • Implement security measures to safeguard the website against cyber threats, malware, and unauthorised access.

Training and Support

  • Monitor website traffic, user behaviour, and engagement metrics using analytics tools like Google Analytics.
  • Generate quarterly reports on website performance, identifying trends, insights, and areas for improvement.
  • Provide training and support to staff members (Athletics, Admissions, Communications, Marketing) responsible for contributing content to the website, including guidance on best practices, content management systems (CMS), and publishing workflows.
  • Offer technical assistance and troubleshooting support to users encountering difficulties with the website.
  • Support the Director of Technology in training stakeholders on the use of different parent-facing digital platforms (Schoology, Parent portal, etc.).

CRM

  • Support and coordinate team requests relating to email bulletins, communications campaigns, and event registrations, including e-commerce and billing support where required.
  • Create, manage, and update all necessary email distribution lists, tags, etc.
  • Manage CRM integration with the website, ensuring seamless data flow and user experience.
  • Troubleshoot and resolve CRM-related issues promptly.

General Administrative Support

  • Help coordinate and carry out projects with overlapping responsibilities.
  • Focal point for departmental data filing systems.
  • Other duties as assigned.

Required and Preferred Qualifications

  • Experience in an independent role while managing content management systems, preferably in a large educational organisation.
  • Excellent communication skills (both written and verbal) in the English language (German is an added value).
  • Familiarity with SEO best practices and tools for optimising website content to drive high rankings on search engines.
  • Strong problem-solving skills for troubleshooting technical issues and bugs.
  • Knowledge of responsive web design principles for ensuring cross-device compatibility.
  • Understanding of data protection regulations such as GDPR and the ability to ensure website compliance.
  • Knowledge of web security best practices and protocols.
  • Experience in implementing SSL certificates, firewalls, and other security measures.
  • Strong interpersonal skills for providing technical support and troubleshooting assistance; team player.
  • Excellent organisational and communication skills for coordinating with various departments and stakeholders.
  • Proactive attitude towards staying updated on industry trends, technologies, and best practices.
  • Ability to identify opportunities for website enhancement and optimisation.
  • Strong analytical and problem-solving skills for experimenting with new ideas and solutions.
  • Proficiency in web analytics tools such as Google Analytics.
  • High professional and ethical standards.
  • Ability to work evenings and weekends, as needed, in support of departmental and/or school initiatives and events.
