About the Role

Southland Trailers is hiring a Payment Coordinator to support accurate, timely, and well-controlled vendor payments while helping improve and modernize our payables processes.

This role is ideal for someone with a strong accounting foundation who enjoys working with vendors, maintaining clean records, and improving workflows. While the role supports Accounts Payable activities, the focus is less on repetitive data entry and more on payment coordination, vendor communication, exception handling, and continuous improvement.

As systems and automation continue to expand, this role will increasingly support process optimization and higher-value accounting tasks.

  • Vendor accounts are clean, reconciled, and up to date
  • Payment issues and discrepancies are resolved quickly and professionally
  • Vendors experience clear, timely communication
  • Payment workflows are documented and continuously improved
Key Responsibilities
Vendor Payments & AP Support
  • Prepare, review, and process vendor payments (cheques, EFT, wires, ACH)
  • Ensure invoices are properly coded, approved, and scheduled for payment
  • Monitor payment runs and resolve exceptions or errors
  • Support three-way matching (PO, receipt, invoice) where applicable
Vendor Management
  • Act as a primary contact for vendor payment inquiries
  • Set up and maintain vendor records (banking, tax forms, contact details)
  • Resolve discrepancies, missing documentation, or pricing issues
  • Build positive, professional relationships with vendors
Reconciliations & Controls
  • Reconcile vendor statements and investigate differences
  • Support AP aging reviews and cleanup activities
  • Ensure compliance with internal controls and payment policies
Systems & Process Improvement
  • Work within ERP and accounting systems to manage payments
  • Identify opportunities to reduce manual steps and improve workflows
  • Support automation initiatives (invoice capture, coding rules, approvals)
  • Maintain clear documentation for payment processes
General Accounting Support
  • Assist with month-end close tasks related to AP/payments
  • Support reporting and data pulls as needed
Qualifications
  • Accounting Diploma or equivalent education
  • 2+ years experience in Accounts Payable, Payments, or Accounting Support
  • Experience with accounting software and ERP systems
  • Strong working knowledge of Microsoft Excel and Outlook
  • Comfortable working with multiple systems and learning new tools
  • Exposure to automation tools, workflow systems, or ERP optimization
  • Education or experience in Automation, Information Systems, or Computer Science
  • Highly detail-oriented and organized
  • Strong follow-through and accountability
  • Professional written and verbal communication
  • Comfortable working with deadlines and payment schedules
  • Process-minded and improvement-oriented
  • Trustworthy and discreet with financial information
