Project Support Specialist

Position Summary

The Project Support Specialist provides comprehensive project management and administrative support to internal departments and selects client-facing initiatives. Key Responsibilities

 Project Administrative Support

  • Provide Project management and administrative support for internal and select external projects.
  • Develop, track, and manage project timelines and deliverables utilizing appropriate tracking tools.
  • Coordinate with project managers, principals, and cross functional teams to ensure timely completion of deliverables.
  • Prepare and review project reports, budgets, forecasts, and performance status updates.
  • Brief management regularly on progression of projects, risks, and priorities.
  • Assist with internal project planning, oversight, and continuous improvement initiatives.

 Financial & Compliance Support

  • Track departmental budgets and forecast future needs.
  • Assist with expense reports, vendor payments, and financial documentation.
  • Support contract administration, updates on financial status of projects, and compliance requirements. 
  • Maintain SOL's certifications, licenses, vendor registrations, and related documentation.

 Data Reporting & Documentation

  • Maintain spreadsheets, databases, logs, and reporting tools.
  • Develop and manage dashboards, reports, and metrics for management review.
  • Perform manual QA checks on critical administrative and operational functions.
  • Gather and analyze data to support decision-making and process improvements. 
  • Ensure accuracy, quality, and compliance of project deliverables (budgets, reports, policies, procedures).

 Client and Stakeholder Support

  • Provide support to internal and external clients and assist in resolving issues.
  • Communicate projects goals, timelines, and updates to team members and stakeholders.
  • Document client feedback and present insights to management.
  • Assist teams in meeting internal and external client requirements.

 Process Improvement & Special Projects

  • Develop and implement departmental policies and procedures to improve efficiency and documentation.
  • Conduct market and competitor research to identify process improvements and opportunities.
  • Design presentations and support proposal/RFP development.
  • Assist with special events, website updates, and marketing/business development initiatives as needed.

Minimum Qualifications

  • Associate's degree in engineering, finance, accounting, project management, or a related field (required). 
  • Minimum of three (3) years of project, financial and/or administrative management experience or an equivalent combination of education, training, and experience. 
  • Strong proficiency in Microsoft Excel, Word, MS Project, and Access.
  • Excellent organizational, time management, and communication skills.
  • Ability to work independently with minimal supervision.

 Additional Preferred 

  • Knowledge of accounting, budgeting, forecasting, and project controls.
  • Experience in preparing complex data analysis and comprehensive reports.
  • Understanding data visualization and information design concepts.
  • Strong analytical, problem-solving, and decision-making skills.
  • High level of initiative, professionalism, and interpersonal effectiveness.

Other Requirements

  • Some firm business-related travel.

Performance Expectations (KPIs)

  • Project Delivery: > 95% of assigned deliverables completed on schedule.
  • Administrative Accuracy: 98% first-pass acceptance of documentation and data.
  • Budget Reporting: 100% on-time submission of monthly budget and financial reports.
  • Customer Support: Resolution of issues within three (3) business days.
  • Collaboration & Communication: Timely handoffs and consistent management updates.
  • Compliance: All certifications, licenses, and registration maintained at 100% compliance
  • Proposals & Reporting: 100% On-time submission of RFP responses and project status reports.
