We are seeking an Office Support & Client Care Specialist to play a central role in supporting our Office Manager, partners, and professional staff in a fast-paced, deadline-driven environment.

This is not a typical administrative job. We are looking for someone who is smart, resourceful, detail-driven, and proactive — someone who enjoys staying busy, anticipating needs, and helping an entire team be more effective. Prior public accounting experience is a plus, but not required. We can train the right person. What we can't train is care, integrity, and ownership.

Core Responsibilities

  • Provide operational and administrative support to partners and professional staff

  • Answer and direct phone calls and relay accurate messages

  • Greet and assist clients with professionalism and warmth

  • Schedule client meetings and manage partners' calendars

  • Scan, organize, and maintain documents and records

  • Prepare and type financial statements, correspondence, and other documents

  • Maintain client lists and profile information

  • Keep office supplies and materials organized and stocked

Tax Season–Specific Responsibilities

  • Process tax return packages from start to finish

  • Coordinate DocuSign workflows and track client signatures

  • Manage federal and state e-filing submissions

  • Monitor acknowledgements and follow up on rejections or outstanding items

  • Ensure tax documents, deliverables, and checklists are accurately prepared and routed

  • Support accountants and partners during high-volume, deadline-driven periods

  • Maintain strict confidentiality with sensitive client information

Successful Candidate Traits & Qualifications

  • Proficient in Microsoft Word, Excel, and Outlook

  • Comfortable learning new software and systems

  • Exceptionally organized with strong prioritization skills

  • Strong attention to detail — accuracy is essential

  • Excellent written and verbal communication skills

  • Able to work independently, take initiative, and anticipate needs

  • Strong follow-up and follow-through

  • Flexible with hours during peak tax deadlines

  • Knowledge of bookkeeping practices is a plus

  • A genuine desire to provide high-level support to partners, associates, and clients

Prior experience in a public accounting firm is preferred but not required.

Job Type: Full-time

Pay: $45, $60,000.00 per year
