Overview
We are seeking an energetic and detail-oriented Seasonal Front Desk Associate to join our team This role is vital in creating a welcoming environment for visitors, clients, and team members while ensuring smooth office operations. As the first point of contact, you will manage front desk activities, handle multi-line phone systems, and support administrative functions with enthusiasm and professionalism. This position offers a fantastic opportunity to develop your office management skills in a dynamic setting while providing exceptional customer service.
Responsibilities
- Greet visitors and clients warmly, ensuring they feel welcomed and attended to promptly
- Manage multi-line phone systems, directing calls efficiently and professionally using proper phone etiquette
- Handle data entry tasks accurately using computer skills, including Microsoft Office and Google Workspace applications
- Maintain organized filing systems, process incoming and outgoing correspondence, and support general office management
- Assist with appointment scheduling, calendar management, and coordinating meetings or events
- Support clerical tasks such as proofreading documents, managing invoices with QuickBooks, and performing basic bookkeeping duties
- Provide excellent customer support by addressing inquiries, supporting visitors, and ensuring a positive experience at the front desk
- Provide client confidential documents such as tax returns, financials and/or payroll items
Experience
- Prior office or administrative experience is preferred, including familiarity with clerical tasks such as filing, data entry, and document proofreading
- Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace tools
- Experience handling multi-line phone systems and demonstrating excellent phone etiquette
- Knowledge of office management practices, including calendar management and organizational skills
- Previous experience in a tax/accounting office as a receptionist or personal assistant is advantageous but not required
- Demonstrated ability to prioritize tasks efficiently with strong time management skills
