POSITION OVERVIEW
The Estimating Coordinator will typically work under the supervision of the Estimating Manager or Lead Estimator and will assist in the coordination and collection of subcontractor and supplier estimates. This role is highly communication-driven, requiring frequent phone calls and relationship-building with subcontractors and vendors. The Estimating Coordinator plays a key role in supporting the estimating process by gathering quotes, reviewing project documents, preparing cost reports, and maintaining data accuracy.
THESE DUTIES AND RESPONSIBILITIES ARE A MUST
· Establish and maintain strong relationships with subcontractors, vendors, and suppliers.
· Obtain quotes and pricing from subcontractors and suppliers within required timeframes.
· Prepare and submit quotations and detailed cost breakdowns for proposed work.
· Assist in managing RFP documents, tracking quote submissions, and organizing estimating data.
· Review and gather relevant project documents including proposals, blueprints, specifications, and schedules.
· Support the bid team and estimators in developing competitive bid strategies.
· Track competitor pricing and market trends to help determine bid positioning.
· Maintain and update cost databases and backup estimating data.
· Responsible for abiding by all company policies and procedures, including but not limited to the employee handbook, safe work practices, etc.
· Perform all other duties as assigned by management.
KNOWLEDGE, SKILLS and ABILITIES
· Knowledge of government contract requirements and compliance standards.
· Ability to read and interpret blueprints and technical specifications is a major plus.
· Familiarity with construction trade pricing and requirements for both rehabilitation and new construction projects.
· Ability to understand bidding instructions, including General and Special Conditions, Technical Specifications, and Project Schedules.
· Working knowledge of construction estimating and takeoff software.
· Strong organizational and time management skills.
· Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
· Excellent interpersonal and written/oral communication skills with the ability to collaborate effectively across teams.
· Ability to identify labor, material, and time requirements by analyzing project documentation.

The employee may be required to work extended hours, including evenings or weekends, based on business needs.
