About the Role:

We are seeking a detail-oriented and proactive Accounting & Records Associate to join our accounting team. This role is critical to maintaining accurate financial records, supporting operational decision-making, and ensuring compliance in a fast-paced, dynamic aviation environment. The ideal candidate has strong accounting fundamentals, thrives in a structured yet evolving company, and is motivated by the high standards of excellence required in the private aviation industry.

Key Responsibilities:

General Accounting

  • Prepare and post journal entries, reconciliations, and accruals.
  • Maintain the general ledger and ensure accuracy of financial records.
  • Assist in preparing monthly, quarterly, and year-end closings.

Accounts Payable & Receivable

  • Process vendor invoices, expense reports, and credit card reconciliations.
  • Monitor accounts receivable, prepare client invoices (including charter flight charges, fuel, and ancillary services), and follow up on outstanding balances.
  • Ensure timely and accurate payments to vendors and contractors.

Charter-Specific Accounting

  • Track charter flight revenue, costs, and margins.
  • Reconcile trip expenses including fuel, crew expenses, FBO (Fixed Base Operator) fees, and catering.
  • Assist in managing aircraft management client accounts, including owner reporting and expense allocations.

Compliance & Reporting

  • Support audit and tax preparation processes.
  • Ensure compliance with industry-specific regulations (FAA, DOT, etc. where applicable) as they relate to financial reporting.
  • Maintain organized and accurate financial records for internal and external review.

Financial Analysis & Support

  • Provide support in developing budgets and forecasts.
  • Prepare ad hoc financial reports to support management decision-making.
  • Partner with operations to ensure accurate capture and reporting of charter trip data.

Qualifications:

  • Associates degree in Accounting, Finance, or related field.
  • 1+ years of accounting experience (aviation, transportation, or hospitality industry experience a plus).
  • Strong knowledge of GAAP.
  • Proficiency in accounting software (QuickBooks, NetSuite, or industry-specific platforms such as Avianis, FOS, or CAMP considered a plus).
  • Intermediate to advanced Excel skills.
  • Excellent attention to detail, organizational, and problem-solving skills.
  • Ability to work independently and within a team in a fast-paced environment.
  • Strong communication skills, both written and verbal.

Pay: $50, $75,000.00 per year
