We are seeking an energetic and detail-oriented Receptionist to be the welcoming face of our organization. Duties

  • Greet visitors, clients, and vendors with professionalism and warmth, ensuring a positive first impression.
  • Manage multi-line phone systems, directing calls efficiently and courteously while maintaining excellent phone etiquette.
  • Handle incoming correspondence, including emails and mail, and distribute them appropriately.
  • Maintain organized filing systems—both physical and digital—using tools like Google Workspace and Microsoft Office.
  • Perform data entry, update records in QuickBooks or other office management software, and assist with basic bookkeeping tasks.
  • Schedule appointments, manage calendars for staff or medical/dental professionals, and coordinate meeting logistics.
  • Support office management tasks such as ordering supplies, proofreading documents, and ensuring the office runs smoothly.
  • Provide exceptional customer service by addressing inquiries promptly and professionally across various channels.
  • Assist with clerical duties including typing reports, proofreading documents, and managing confidential information with discretion.

Requirements

  • Proven experience in office administration or as a receptionist with strong organizational skills.
  • Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook), Google Workspace, and data entry tools.
  • Familiarity with multi-line phone systems and excellent phone etiquette skills.
  • Ability to handle clerical tasks such as filing, proofreading, and managing schedules efficiently.
  • Bilingual abilities are highly desirable to support diverse client needs.
  • Experience with QuickBooks or bookkeeping is a plus for handling basic financial tasks.
  • Strong organizational skills with the ability to prioritize tasks effectively in a fast-paced environment.
  • Excellent communication skills—both verbal and written—and a professional demeanor at all times.
  • Previous experience in medical or dental reception is advantageous but not required; relevant personal assistant experience is also valued.
  • Knowledge of office management best practices along with time management skills to meet deadlines consistently.
