L’Assistante exécutive ou l’Assistant exécutif agit comme principal point de soutien du Président et joue un rôle central dans la coordination des activités de direction. Il s’agit d’un poste clé, très polyvalent, combinant soutien exécutif, coordination opérationnelle, administration et appui à certaines initiatives de communication. La personne retenue doit aimer travailler dans un environnement où les priorités évoluent rapidement, où la collaboration est essentielle et où l’on touche à plusieurs dossiers en parallèle.
Vos principales responsabilités
Soutien exécutif – Bureau du Prés ident
- Gérer l’agenda, les priorités et les déplacements du Président
- Coordonner les rencontres internes et externes
- Préparer les documents de briefing, notes et présentations
- Assurer le suivi des décisions, actions et échéanciers
- Rédiger et réviser la correspondance exécutive
- Assurer la confidentialité des informations sensibles
Coordination et soutien opérationnel
- Assurer la coordination de dossiers transversaux entre les équipes
- Appuyer la gestion des priorités et suivis administratifs
- Maintenir une structure organisationnelle efficace (documents, suivi, classement)
- Soutenir l’optimisation des processus internes
Administration et outils
- Assurer la gestion et la mise à jour des outils administratifs (CRM, dossiers, documents)
- Maintenir la qualité et la cohérence des données (ex. HubSpot)
- Appuyer le suivi des contacts, opportunités et documents internes
- Participer à la structuration des systèmes internes
Coordination d’événements, représentation et communications corporatives(volets complémentaires)
- Participer à la préparation d’événements corporatifs et industriels
- Coordonner la logistique (déplacements, fournisseurs, inscriptions et gestion des invités)
- Préparer les documents exécutifs, présentations et supports de représentation
- Assurer le suivi post-événement ainsi que les actions et suivis connexes
- Collaborer, au besoin, à la coordination des communications corporatives
- Appuyer la préparation de contenus et publications en collaboration avec des partenaires externes
- Contribuer à la cohérence des messages, présentations et matériel corporatif
- Soutenir l’organisation et la mise à jour des contenus et actifs corporatifs
Ce que vous apportez à l'équipe
- 4 ans ou plus d'expérience dans un rôle similaire
- Formation en administration, ou domaine connexe (DEC ou BAC)
- Excellente capacité d’organisation et gestion des priorités
- Grande polyvalence et aisance dans un environnement dynamique
- Professionnalisme, discrétion et jugement
- Esprit d’initiative et autonomie
- Excellentes compétences en communication
- À l’aise avec les outils Microsoft 365 et environnements numériques
- Capacité à gérer plusieurs dossiers simultanément

- Manage the President’s calendar, priorities, and travel arrangements
- Coordinate internal and external meetings
- Prepare briefing documents, notes, and presentations
- Follow up on decisions, actions,and deadlines
- Draft and review executive correspondence
- Ensure strict confidentiality of sensitive information
Coordination and operational support
- Coordinate cross-functional files across teams
- Support priority management and administrative follow-ups
- Maintain an efficient organizational structure (documents, tracking, filing)
- Support internal process optimization initiatives
Administration and systems
- Manage and update administrative tools (CRM, files, documents)
- Ensure data accuracy and consistency (e.g., HubSpot)
- Support tracking of contacts, opportunities, and internal documents
- Contribute to the structuring of internal systems
Event coordination, external representation and corporate communications (supporting function)
- Participate in the preparation of corporate and industry events
- Coordinate logistics (travel, vendors, registrations, guest management)
- Prepare executive documents, presentations, and representation materials
- Ensure post-event follow-ups and related actions
- Support, as needed, corporate communications coordination
- Assist in content preparation and publications with external partners

What you bring to the Team
- 4 years or more of experience in a similar role
- Diploma or degree in administration or a related field (DEC or Bachelor’s)
