The Administrative Audit Officer will be responsible for reviewing and auditing organisational records, documentation, and administrative systems to ensure information is accurate, complete, and maintained in line with internal policies and regulatory requirements.

The role will focus on auditing employee and operational records, identifying gaps or inconsistencies in documentation, and supporting improvements to record management and administrative processes.
Key Responsibilities
Records & Documentation Audit
- Conduct a systematic review of organisational records and personnel documentation (digital and/or hard copy) to ensure files are complete and accurately maintained
- Verify that key documentation such as contracts, amendments, job descriptions, and supporting records are present and properly filed
- Review onboarding and leaver documentation to ensure required records have been completed and retained
- Identify missing, outdated, or incomplete documentation and flag issues for correction
Data & Systems Review
- Audit information stored within administrative systems and databases to ensure accuracy and consistency
- Cross-check information between internal systems, payroll data, and physical records where required
- Identify discrepancies and prepare correction logs or action lists
- Support the updating and organisation of administrative records within systems
Compliance & Governance
- Ensure documentation and record keeping align with internal policies and regulatory requirements
- Check that records are maintained in accordance with data protection and confidentiality standards
- Highlight potential compliance risks or gaps in documentation processes
Reporting & Recommendations
- Prepare structured reports outlining:
- Key audit findings
- Missing or inconsistent records
- Potential risks or compliance gaps
- Recommended corrective actions
- Prioritise issues based on urgency and risk level
- Support departments in implementing required updates to records
Administrative Process Improvement
- Identify opportunities to improve filing, document management, and administrative workflows
- Support the development of clearer record management procedures
- Assist in standardising templates and documentation where required
- Contribute to improved tracking systems for organisational records
Person Specification
- Experience in an administrative, records management, or audit support role
- Strong organisational xcfaprz and document management skills
- High attention to detail with the ability to identify discrepancies in records
- Experience working with databases or administrative systems
- Strong analytical and reporting skills
- Ability to handle confidential and sensitive information appropriately
- Experience supporting internal audits or compliance reviews
- Experience working with HR, payroll, or administrative systems
- Familiarity with data protection and records management standards
- Strong Microsoft Excel and reporting skills
