Hi I'm Maja, founder of The Vibe Design — a growing marketing agency specializing in MedSpa businesses.
I'm looking for a highly organized, proactive Virtual Assistant who can help me manage daily operations so I can focus on scaling and client growth.
This is a long-term opportunity for someone who wants to grow with an agency.
Responsibilities
Client Communication
Respond to client emails professionally and promptly
Follow up with clients on deliverables, approvals, and deadlines
Send reminders and maintain communication flow
Organize feedback and revisions
Administrative Support
Manage inbox and calendar
Organize Google Drive folders
Update task boards (Notion / ClickUp / Trello – whichever we use)
Prepare documents and simple reports
Help manage contracts and proposals
Social Media Support
Schedule posts (Instagram, Facebook, TikTok)
Upload captions and hashtags
Monitor DMs and comments
Light engagement (responding to comments, liking, etc.)
Coordinate with designers/editors
Basic Marketing Support (Bonus)
Assist with uploading Meta or Google ads
Pull basic analytics reports
Help organize campaign data
Requirements
Fluent English (written and spoken)
Strong communication skills
Highly organized and detail-oriented
Proactive and solution-focused
Available during US working hours (at least partially)
Experience with marketing agencies is a plus
Experience with GoHighLevel is a big plus
