Compensation: $86,086 / year


Description The Business & Grants Coordinator is responsible for the development, enhancement, and maintenance of financial processes and reporting systems within ABCD Head Start & Children's  Services, including those that facilitate workflows with other ABCD departments, external partners,  and funders. 
The Business & Grants Coordinator is responsible for promoting the mission of ABCD Head Start &  Children's Services; building an understanding of the program by communicating this mission to staff, families, and the community. 
This position must comply with all federal, state and local laws, regulations, standards and policies,  including those of the federal Administration for Children and Families (ACF), the Massachusetts  Department of Early Education and Care (EEC), the Individuals with Disabilities Education Act (IDEA),  Massachusetts Department of Elementary and Secondary Education (DESE), Massachusetts disability  law (Chapter 766), Boston Family Engagement Network (BFEN) and ABCD, Inc. Head Start and  Children's Services policies and procedures.  
All ABCD Head Start/Early Head Start and Children's Services personnel who are paid to care for, or  work with, children are MANDATED BY LAW to report all suspected cases of child abuse and neglect to the Massachusetts Department of Children and Families (DCF), pursuant to Massachusetts  General Laws Chapter 119 §§ 51A – 51G. Any staff member who suspects child abuse or neglect of a child must inform his or her supervisor immediately. 
The responsibilities of a particular position may support both Early Head Start and Head Start depending on the individual assignment. The specific corresponding funding allocation will be documented on the personnel payroll authorization or change of status form. 
All communications are potentially sensitive and are subject to Head Start's policy on confidentiality. 

Key Responsibilities Contracts and Grants Management and Financial Reporting (Up to 60%) 
  • Oversee billing, invoice tracking, and fiscal monitoring for various grants and contracts.
  • Manage certain data components of federal and state grants, including data collection, analysis, and reporting in accordance with grant requirements.
  • Execute financial reporting for partner programs, funders, auditors, and others as needed.
  • Assist in grant writing, budget development, budget amendments, and grant closeouts as requested by Central Leadership.
  • Provide support in preparation for and participation in financial audits and monitoring visits
  • Manage the non-federal share system for ABCD's Head Start and Early Head Start grants, including monitoring and reporting on the intake of all non-federal share contributions. 
Internal Financial Support and Systems Development (Up to 30%) 
  • Create internal financial reports for the Governing Bodies, Central Leadership, Content Area Coordinators and Program Leadership, and others as needed.
  • Spearhead the development, documentation, and implementation of new fiscal processes, systems, and tools to increase efficiency within ABCD Head Start & Children's Services.
  • Manage the procurement process for vendor partners, editing and distribution of contracts for all partners, processing invoices for payments, and regular monitoring of fiscal activities.
  • Provide support and training to ABCD Head Start & Children's Services staff on fiscal matters.
Other Professional Development and Administrative Tasks (Up to 10%)
  • Attend and participate community activities, meetings, and trainings on and off site.
  • Engage in ongoing staff development to expand professional skills.
  • Assist with other fiscal and administrative work as needed.

Skills, Knowledge and Expertise
  • A minimum of a Bachelor's Degree in business, human services, or related field and five to ten years of experience in finance, accounting, data analysis, grants management, or other fiscal-oriented role are required. 
  • Experience in the non-profit sector and/or grants management experience is preferred.
  • High level of proficiency in Microsoft Office Suite and G-Suite is  required.
  • Adeptness for working with large datasets, complex budget structures, and accounting systems, with the capacity to learn new financial systems.
  • Exceptional attention to detail, accuracy, organization, and timeliness around deliverables.
  • Excellent written and verbal communication, mathematical and analytical abilities, and interpersonal skills.
  • Ability to work both collaboratively and independently in a culturally diverse, interdisciplinary team.
