Job Title: Volunteer and Community Coordinator

Program: Development

Reports To: Director of Development

Status: Regular Full-time

Hours: Various – 40 hours per week

Pay: $50k to $55k

Benefits: $600 Health Stipend after 90 days

Objective:

Works under the general supervision of the Development Director. Engagement of the community in Saranam's mission through outreach and volunteer program coordination. Must be able to work with diverse belief systems.

Major Responsibilities:

· Volunteer Program Coordination

· Outreach

Essential Functions:

Volunteer Program Coordination:

Recruit, train, track, place, evaluate, and recognize volunteers within the organization. Oversee volunteers and their relationships with those they interact with, including employees and families. Manages all elements of the volunteer program, internally and externally.

· Promote effective communication within the staff of Saranam to uncover volunteer needs, create job descriptions and connect volunteers with meaningful volunteer opportunities commensurate with their experience, personality, and abilities. Raise staff awareness of the role and the function of volunteers.

· Ensure volunteers are staffed to support the various areas of Saranam to include, but not limited to, education, children's programming, housing and supplies, family services, special events, development, marketing/communications, and office support. Recruit, interview, and train volunteers to ensure they are appropriately matched for a position, then hand-off to appropriate staff.

· Planning, organizing, supporting and supervising, special volunteer projects for large groups – schools, churches, corporate, etc., see Outreach, this is separate from regular volunteer placement in support of staff.

· Develop and manage volunteer policies, procedures, budgets and best practices for volunteer service. Maintain descriptions for each volunteer assignment.

· Promote volunteering at Saranam

o Identify and participate in community outreach and recognition opportunities.

o Occasionally present to volunteer groups from the community.

o Organize and participate in volunteer recognition programs and special events.

o Coordinate group tours and group/team volunteer events.

o Publicize opportunities for volunteers.

· Organize and provide orientation and training to volunteers as needed.

· Regular and effective organization and communication for coordination of volunteers

o Create and distribute various communications and publications.

o Facilitate distribution of appropriate information to relevant volunteers

· Evaluate all aspects of volunteer programs to ensure effectiveness and to recommend/implement changes as necessary.

o Evaluate the work of volunteers to ensure that program offerings and activities are of appropriate quality and that resources are used effectively.

o Monitor, support and motivate volunteers. Celebrate milestones and recognize volunteers.

· Maintain databases as well as manage program's administrative duties when needed.

o Maintain accurate records and provide timely statistical and activity reports on volunteer hours worked, activities, participation, and expenditures.

o Monetize time donated and report to volunteers and staff.

· Build long-term relationships with volunteers, staff, and communities.

o Create positive volunteer experiences that help volunteers meet their philanthropic goals and ambitions through a relationship with the organization.

· Works both independently as well as with volunteers and other staff in a team atmosphere. Participates in staff, program, community, and Board meetings as needed.

Outreach:

Responsible for implementing portions of Saranam's outreach plan within the community. Presenting Saranam's mission to new and existing community partners to share growth and impact. Creating community partnerships and fulfilling ancillary needs for Saranam's families. Working with staff and key stakeholders to disseminate appropriate information about Saranam. Identify, organize, implement, and oversee special projects and opportunities to plug in greater community as volunteer groups.

· Contribute to Development's overall strategic outreach plan including diverse partnerships and opportunities to share Saranam's impact and growth

· Contact interested or potential community partners and groups, and schedule and conduct presentations to engage new constituencies

o Maintain a list of contacts and follow-up actions taken

o Present at events with prepared materials

o Host tours of Saranam facilities as requested

· Identify events and meetings within mission area that could contribute to the growth of Saranam's outreach

o Attend appropriate meetings and events whose primary goal is to build awareness of mission to community members (not families or referral partners)

· Maintain a database of outreach presentations, speaking engagements to accurately report frequency of staff communications and numbers

· Build relationships with community partners to fulfill ancillary needs of Saranam families including, but not limited to, holiday gifts, birthday bags, summer baskets, and Mother's and Father's Day gifts.

· Design and conduct trainings for staff, stakeholders and alumni as needed

o Conduct Speaker's Bureau trainings and maintain database of trained individuals to be called upon for presentations

§ Identify opportunities for Speakers Bureau members

· Other duties as assigned.

Holiday/Christmas Special Project:

Annually plan, organize, schedule, coordinate, and manage all aspects of the Saranam families' Christmas gifts and distribution. This is with support from the Program team/department.

Required Experience and Skills:

· Ability to work some evenings and some weekends as needed, including 1 Saturday a month)

· Ability to work with a variety of people in diverse circumstances.

· Ability to handle conflict and crisis.

· Ability to perform light physical work as may be required.

· Proven ability to work independently and as part of a team.

· Excellent organizational, planning, verbal and written communication skills.

· Strong skills in MS Office and email marketing platforms (i.e. Constant Contact).

Environmental/Physical Conditions:

Normal Office environment: some local travel may be required. Ability to lift 20 lbs.

· Valid driver's license and proof of insurance

· Willing and able to use personal vehicles for local travel on Saranam business.

· Willing and able to occasionally work irregular hours and have a flexible work schedule.

Benefits:

Benefits apply to full-time candidates and include generous paid time off, a monthly health stipend, and a retirement savings plan. Non-exempt hourly employees are paid twice a month for hours worked. Sick leave is provided and accrued based on hours worked.
