Position Summary
The Resident Specialist supports the daily operations of a multifamily residential community by providing exceptional service to residents, handling administrative tasks, and assisting the property management team. This role plays a key part in maintaining resident satisfaction, coordinating maintenance requests, supporting leasing functions, and ensuring efficient office operations.
Key Responsibilities
Resident Services & Community Relations
- Serve as the first point of contact for residents, guests, and prospects, providing friendly and professional customer service.
- Respond to resident questions, concerns, and requests via phone, email, and in person.
- Process and track resident service requests, ensuring timely follow-up with maintenance staff.
- Assist with coordinating resident move-ins and move-outs, including welcome packets, key preparation, orientation, and scheduling.
- Support resident engagement initiatives by helping plan and host community events and activities.
Leasing Support
- Assist leasing staff with tours, inquiries, and follow-ups as needed.
- Prepare leasing packets, application materials, and renewal documents.
- Maintain updated inventory of availability, unit status, and resident files.
- Help ensure model units, office areas, and amenities are clean and ready for showings.
Administrative & Office Operations
- Maintain accurate resident records, lease documents, and compliance files.
- Handle office tasks such as data entry, filing, scanning, answering calls, processing mail, and ordering supplies.
- Post payments, issue receipts, and assist with rent collection processes when needed.
- Assist with weekly and monthly reports, notices, and communication to residents.
- Monitor and report on the condition of common areas, amenities, and grounds.
Maintenance & Vendor Coordination
- Enter, track, and close work orders in property management software.
- Communicate maintenance updates to residents and ensure issues are resolved promptly.
- Coordinate vendor access, schedules, and unit entry for repairs or improvements.
- Assist the team with unit-turn coordination, inspections, and readiness tracking.
Qualifications
- Experience in multifamily housing, leasing, property management, or hospitality preferred.
- Strong customer service skills with a resident-first mindset.
- Proficiency in property management software (e.g., Yardi, AppFolio, RealPage) is a plus.
- Excellent communication, organization, and problem-solving abilities.
- Ability to work in a fast-paced environment and handle multiple priorities.
Job Type: Full-time
Pay: $50, $65,000.00 per year
