We are seeking a highly organized and proactive Executive Assistant (EA) to provide comprehensive support to the CEO. You will act as a strategic partner, ensuring the executives' time is optimized, priorities are aligned, and the organization runs efficiently at the highest level.
The ideal candidate thrives in a fast-paced, dynamic environment; demonstrates exceptional judgment and communication skills; and is equally comfortable managing complex calendars, leading cross-functional coordination, and handling sensitive information with the utmost confidentiality.
Key ResponsibilitiesExecutive Support
- Manage complex and dynamic calendars for the CEO, including scheduling, prioritization, and coordination of internal and external meetings.
- Serve as a gatekeeper and liaison, ensuring smooth communication between executives, staff, board members, and external stakeholders.
- Prepare and organize materials for executive meetings — including agendas, briefings, talking points, presentations, and follow-ups.
- Handle travel logistics (domestic and international), itineraries, accommodations, and expense reports with precision and efficiency.
- Track and manage key deadlines, action items, and deliverables for the CEO and leadership team.
- Support executive decision-making by gathering, synthesizing, and presenting key information from across departments.
- Partner with senior leadership to plan and deliver executive initiatives, leadership offsites, and quarterly business reviews.
- Assist with board relations — including scheduling, compiling board materials, and maintaining records.
- Anticipate the needs of the CEO and executives to ensure they are prepared for meetings, events, and communications.
- Maintain awareness of company priorities and ensure executive actions are aligned with organizational goals.
- Create and maintain efficient systems for managing documents, contacts, and workflows.
- Process invoices, reimbursements, and other administrative transactions in coordination with Finance and HR.
- Maintain confidentiality of all corporate, personnel, and research matters.
- Support special projects as assigned — from internal communications to event planning.
This role may occasionally require ad-hoc, personal assistance including, but not limited to, booking personal travel and coordinating personal gift-giving for the CEO.
Qualifications- Experience: 5+ years of experience and proven success in supporting C-suite executives, preferably in a fast-paced corporate and/or startup environment.
- Technical Skills: Advanced proficiency in Google Workspace and productivity tools.
- Communication: Exceptional verbal and written communication skills; high emotional intelligence (EQ) and professional demeanor.
- Organization: Meticulous attention to detail with the ability to anticipate needs and manage multiple priorities simultaneously.
- Discernment: Proven ability to handle sensitive and confidential information with discretion.
Compensation and Benefits:
Compensation:
$70,000 – $80,000 per year (based on experience) + bonus eligibility based on individual and overall company performance.

Schedule:
- 40 hours, Monday-Friday
