Sales & Customer Support Coordinator
We are seeking a highly organized and customer-focused Sales & Customer Support Coordinator to provide administrative and operational support to our Sales and Customer Service teams. This role plays a critical part in ensuring a seamless customer experience by managing order processing, maintaining records, coordinating communications, and supporting day-to-day sales activities. The ideal candidate thrives in a fast-paced environment, enjoys working across multiple departments, and has strong attention to detail. Key Responsibilities
Serve as the first point of contact for incoming calls, visitors, customers, and vendors, providing professional and friendly service. Create, edit, and distribute business documents, reports, presentations, spreadsheets, and correspondence for the Sales and Customer Service teams. Maintain accurate electronic and physical filing systems to support efficient record management and retrieval. Coordinate calendars, meetings, appointments, and conference calls. Assist with travel arrangements and expense reporting as needed. Monitor and replenish office supplies, forms, and departmental materials. Prepare customer quotes, sales acknowledgments, proposals, and other sales-related documentation. Enter, maintain, and update customer orders within the ERP/MRP system to ensure timely and accurate processing. Manage customer accounts, pricing information, and sales records. Generate reports and support tracking of sales performance and customer service activity. Coordinate distribution of product information, catalogs, and marketing materials. Provide administrative support related to customer orders, sales transactions, contracts, and supporting documentation. Ensure documents and records are complete, accurate, and maintained according to company standards. Support document retention initiatives and compliance-related recordkeeping practices. Collaborate with customers and internal teams to ensure effective communication and issue resolution. Partner with departments including Production, Purchasing, Shipping, Quality, Engineering, Accounting, Customer Service, and Sales to support business operations. Assist with special projects and other duties as assigned. Qualifications
Minimum 2 years of experience in customer service, sales support, administrative support, or a related role. Experience with order entry, data entry, and customer account management. Strong customer service mindset with excellent interpersonal and communication skills. Proficiency in Microsoft Office, including Excel, Word, Outlook, and PowerPoint. Ability to manage multiple priorities while maintaining accuracy and attention to detail. Strong organizational, problem-solving, and time-management skills. Ability to work independently and collaboratively within a team environment. High level of professionalism and discretion when handling confidential information. Preferred Qualifications
Experience working in a manufacturing or industrial environment. Familiarity with ERP/MRP systems. Experience using CRM platforms, such as Salesforce. Knowledge of document control and records management processes. Ability to quickly learn new systems and adapt to changing business needs. Work Environment
This is a fully onsite position operating Monday through Friday from 8:00 a.m. to 4:30 p.m. The role offers the opportunity to work closely with multiple departments, including Sales, Customer Service, Production, and Operations, providing valuable exposure to the overall business. Job Type & Location: This is a Permanent position based out of Clearwater, FL. Pay and Benefits: The pay range for this position is $47840.00 - $56160.00/yr.
