Tasks and Job Duties: Maintain efficient sales office procedures, and insures the maintenance of accurate and updated account files and follow up procedures. Assist in processing, and emailing of sales and catering contracts. Completes details with client, and creates Banquet Event Orders. Assists with formulation and distribution of client BEO's. Create folios for all events without guest rooms Types and distributes daily event sheet, change/guarantee sheets and create door cards Assists with weekly sheets due list and distributes Participate in catering and sales programs, activities and special projects as required. Receives and greets clients. Field office calls and forwards those calls to the appropriate manager. Maintain sales office reception area cleanliness Assist all hotel personnel with specific projects, as required. Calls clients to ascertain guarantees for upcoming events Assists the sales team with emailing or faxing menus, BEO's and information needed by clients Maintain professional appearance and work ethics Completes weekly reports and email to Steve Holbrook, VP of Finance Order WB Mason as needed Responsible for ordering call reports, gift cards, letter head and envelopes. Prerequisites: Experience: Previous administrative or reception experience in service industry. Must be able to speak, read, write and understand the primary language(s) used in the workplace and by guests who frequently visit the workplace. You must know Microsoft Word and Excel. Knowledge of Amadeus is a plus but not required. Education: Requires high school diploma and some college in Business Management Physical: You should know how to handle multiple projects at one time. Requires manual dexterity, grasping, standing, sitting, walking, repetitive motions, visual acuity, hearing, writing and excellent speaking ability.
