About the role
We are looking for an Operations Coordinator to join our operations team! In the Operations department, we O ptimize, P repare and S erve – we are here to execute! The ideal candidate will have strong administrative skills, be ready to work in a fast-paced environment and be eager to learn and take on new challenges.
Responsibilities
- Supervise & manage current week's technicians’ schedules: Ensure all scheduled work is executed efficiently and technicians remain fully utilized.
- Dispatch & Coordination: Assign and dispatch incoming service requests, ensuring technicians have all necessary details for their assigned work.
- Work Order Management:
- Confirm completion of scheduled work orders and audit technician times, notes, and scopes.
- Transfer incomplete work orders back to the scheduling team for future weeks. If a return visit is needed within the current week, schedule accordingly.
- If an incomplete work order requires an estimate, send it to the estimation team with a detailed scope.
- After-Hours & Emergency Calls: Audit after-hour service calls and ensure proper follow-ups.
- Customer & Technician Communication:
- Coordinate with clients regarding service appointments, access codes, and last-minute schedule changes.
- Maintain open communication with technicians regarding their schedules, special customer requests, and start times.
- Update ServiceCall with any technician sick days, vacations, or holidays affecting the current week's schedule.
Candidate requirements
- Excellent interpersonal and customer relations skills
- High level of attention to detail and accuracy
- Highly effective organizational skills
- Experience in a scheduling, dispatch, or operations support role (an asset)
- Flexibility and resourcefulness
- Ability to prioritize in a fast-paced, ever-changing environment.
- Good application of the Microsoft Office suite
- Must have very good knowledge of French oral and written (bilingual)

A propos du poste
Nous sommes à la recherche d’un(e) coordonnateur(trice) aux opérations pour se joindre à notre équipe des opérations ! Au sein du département des opérations, nous o ptimisons, p réparons et l ivrons — notre mission est d’exécuter efficacement ! Le ou la candidat(e) idéal(e) possède de solides compétences administratives, est à l’aise dans un environnement dynamique et démontre une grande volonté d’apprendre et de relever de nouveaux défis.
Responsabilités
- Supervision et gestion des horaires des techniciens pour la semaine en cours : s’assurer que tous les travaux planifiés sont exécutés efficacement et que les techniciens sont pleinement utilisés.
- Répartition et coordination : assigner et répartir les demandes de service entrantes, en veillant à ce que les techniciens disposent de toutes les informations nécessaires pour leurs mandats.
- Gestion des bons de travail :
- Confirmer la complétion des bons de travail planifiés et vérifier les heures, les notes et la portée des travaux des techniciens.
- Retourner les bons de travail incomplets à l’équipe de planification pour les semaines futures. Si une visite de retour est requise dans la semaine en cours, la planifier en conséquence.
- Lorsqu’un bon de travail incomplet nécessite une estimation, le transmettre à l’équipe d’estimation avec une description détaillée de la portée des travaux.
- Appels après les heures normales et appels d’urgence : vérifier les appels de service effectués après les heures normales et assurer les suivis appropriés.
- Communication avec les clients et les techniciens :
- Coordonner avec les clients les rendez-vous de service, les codes d’accès et les changements d’horaire de dernière minute.
- Maintenir une communication ouverte avec les techniciens concernant leurs horaires, les demandes particulières des clients et les heures de début.
- Mise à jour de ServiceCall concernant les journées de maladie, vacances ou congés des techniciens ayant un impact sur l’horaire de la semaine en cours.

- Excellentes compétences organisationnelles
- Expérience dans un rôle de planification, de répartition ou de soutien aux opérations (un atout)
- Flexibilité et débrouillardise
- Capacité à prioriser dans un environnement rapide et en constante évolution
- Bonne maîtrise de la suite Microsoft Office
- Excellente connaissance du français oral et écrit (le bilinguisme est requis afin de pouvoir servir l’ensemble de la clientèle au Québec dans la langue officielle de leur choix ).
