As a Neurosurgery Apprentice, you will play a crucial role in supporting the Neurosurgery team in delivering high-quality patient care and services. This apprenticeship provides hands‑on experience of the essential administrative tasks within the Neurosurgery Department.

The post holder will be part of the multidisciplinary neurosurgical teams, offering administrative support to ensure the effective delivery of clinical services. This will include, but is not limited to patient telephone communication, booking appointments, arranging admissions and preparing multidisciplinary team meetings. This Apprenticeship is supported by senior medical professionals and management, enabling them to learn, develop and build a strong foundation for a career in NHS administration.

If you don’t possess functional skills you can do it alongside the apprenticeship.

Main duties of the job

Outpatients, Admissions, and MDT Support

  • Coordinate patient admissions, ensuring documentation is accurate and up to date, while addressing patient and family queries.
  • Work with the multidisciplinary team (MDT) to plan admissions and provide patients with necessary information.
  • Manage waiting lists, admission data, and patient bookings, ensuring smooth clinic operations.
  • Support MDT meetings by preparing materials, maintaining records, and following up on treatment plans and appointments.
  • Assist with general outpatient clinic bookings, ensuring accurate scheduling and communication with patients and staff.
  • To support the coordinators in managing patients, waiting lists and admissions for specified consultants and practitioners.
  • To use EPIC to book admissions for surgery, outpatient appointments and arrange multidisciplinary team meetings.

Communication and Teamwork

  • Manage mailbox.
  • Respond to emails in a professional and timely manner.
  • Respect patients on phone.
  • Work closely with the multidisciplinary team, consultants, nurses, and administrative staff to support the delivery of high‑quality patient care.
  • Ensure clear and professional communication with patients, colleagues, and external partners, maintaining a respectful and positive approach.

General Administrative Support

  • Carry out general administrative tasks, such as filing, data entry, and maintaining patient records, ensuring all documentation is accurate and confidential.

Training will be provided for the following systems:

  • EPIC training provided by the Trust’s EPIC Team and access is only granted once training is completed.
  • Sectra training provided on the job training.
  • IEP provided by on the job training.
  • eRS provided by on the job training.
  • Excel built on existing skills with on the job training.

Training will be provided on the job in relation to:

  • Patients admissions.
Person Specification
  • Maths and English grades A‑C or equivalent.
  • Excellent word‑processing and spreadsheet skills, including Microsoft Word and Excel strong.
