The Administrative Assistant to the VP of Sales provides a high-level of administrative support to the Vice President of Sales, ensuring smooth operations in a fast-paced sales environment. This role acts as a key liaison between the VP, sales team, sales operations, clients, and other executives, handling confidential information with discretion while anticipating needs to drive efficiency and support revenue goals.
Key Responsibilities
Manage the VP's complex calendar, including scheduling internal and external meetings, sales calls, client visits, and team events; prioritize and resolve conflicts proactively. Coordinate domestic and international travel arrangements, including flights, hotels, ground transportation, and detailed itineraries. Prepare, edit, and organize documents, presentations (e.g., PowerPoint decks for sales meetings), reports, expense reports, and sales-related materials such as proposals, contracts, or performance dashboards. Handle incoming communications: manage email correspondence, respond on behalf of the VP when appropriate, and route inquiries to the right team members. Organize and maintain confidential files, records, and databases related to sales pipelines, client information, compensation plans, and performance reviews. Support sales team operations: track expenses, process reimbursements, coordinate logistics for sales conferences or offsite meetings, and assist with onboarding new sales staff. Prepare agendas, take minutes, and follow up on action items for executive meetings, sales leadership calls, and cross-functional collaborations (e.g., with marketing or finance). Monitor and report on administrative aspects of sales programs, such as incentive tracking, vacation/leave policies, or quota attainment summaries. Act as a gatekeeper and liaison: greet visitors, manage relationships with key clients or partners, and facilitate communication between the VP and internal/external stakeholders within and without enableCV headquarters. Handle special projects as assigned, such as market research support, event planning for sales kickoffs, assist with office wide events & company parties under the direction of the Office Operations Director. Ad-hoc reporting using tools like Salesforce or Excel. Maintain office supplies, equipment, and vendor relationships as needed.
Qualifications and Requirements Education: Candidates with a Bachelor's degree may be give preference; Associate's degree or equivalent experience accepted. Experience: 3+ years Administrative Assistant experience supporting senior executives (preferably in sales, marketing, or a revenue-driven environment); experience with VP-level or C-suite support is a plus. Skills:
Exceptional organizational and time-management abilities with strong attention to detail. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and tools like Google Workspace; experience with CRM systems (e.g., Salesforce) is a plus. AI experience or a desire to learn is a plus! Excellent written and verbal communication skills. High level of discretion and confidentiality when handling sensitive sales data or executive information. Proactive problem-solving mindset with the ability to anticipate needs and multitask in a dynamic setting. Strong interpersonal skills for building relationships across teams and with external parties. Strong technology and computer skills

This is a full-time role reporting to the VP of Sales, it will be an on-site role in a hybrid (4 day in office minimum) office-based environment.
