Job Summary: Responsible for health information technical operations for Inpatient and may provide cross coverage as needed. The HIM Operations Supervisor oversees the daily operations with a primary focus on SRH Inpatient and support to the Mount Vernon Clinic operations. Works effectively and cooperatively within the workplace. Location/Department specific tasks and competencies may apply.
Essential Functions:
- Supervise staff at Skagit Regional Health (Skagit Valley Hospital and Cascade Valley Hospital) and Mount Vernon Clinic, and HIM Departments (Scanning- 2 Campuses, Deficiency Management, and Birth Certificates).
- Support the ongoing development of the electronic medical record system in a multi-facility integrated healthcare delivery system.
- Coordinate operational activities to ensure compliance with key performance indicators.
- Regularly monitor productivity and quality in each area to ensure compliance.
- Monitor and adjust workflow to ensure compliance.
- Provide workflow and production reporting to Director in an accurate and timely manner.
- Ensures staff maintain a positive customer service attitude.
- Prepare, oversee and approve work schedules as needed.
- Responsible for the effective hiring, orientation and training of HIM staff.
- Performance management including coaching, performance improvement, evaluations and terminations in accordance with organizational and departmental guidelines and policies.
- Complete performance evaluations in an accurate and timely manner.
- Schedule staff at levels that are adequate to meet organizational and departmental standards.
- Accurately manage staff time card(s) utilizing the electronic time keeping system in accordance with organizational and departmental policies and procedures.
- Approves time cards in a timely manner.
- Demonstrates high level of personal and professional accountability and responsibility.
- Excellent customer service skills.
- Self-directed and performs duties independently.
- Maintain ability to effectively utilize Microsoft Office (Outlook) and department specific software applications to perform work.
- Communicate effectively and cooperatively in the workplace.

- Actively contribute to the achievement of Quality Improvement and Lean Process Improvement activities.
- Complete all mandatory learning requirements in a timely manner.
- Attend and actively participate in all department, team and/or committee meetings.
- Comply with all Skagit Regional Health, department and location specific policies and procedures.
- Perform other duties as assigned by Supervisor or designee.
Education: Associate's Degree in Health Information Management, Health Informatics or related field required. Bachelor of Science in Health Information Management or related field preferred.
Experience/Training: Minimum five years' experience in medical records, with 2 years working with an electronic medical record. Computer skills required.
License/Certifications: Registered Health Information Technician (RHIT) certification or appropriate associate's degree with 3 supervisory experience in an acute care facility/or clinic environment directly related to Health Information Management required. Computer skills required.
Other Skills: Thorough understanding of the transition to an electronic medical record system and core HIM functions such as document management and imaging, transcription, chart completion and coding. Effective verbal, written and interpersonal communication skills required. Ability to maintain confidentiality. Must be able to effectively utilize Microsoft Office applications to perform work. Well-developed problem solving and analytical skills required. Strong time management skills. Must be able to effectively prioritize workload amongst frequent interruptions with competing priorities. Knowledge of the healthcare environment required. Ability to coordinate work schedule with requirements of position (may include overtime and weekend work).

While performing the duties of this job, the employee is regularly required to sit for long periods of time; when working in office. Repetitive tasks such as typing, sitting, answering phones, and interacting with computers and computer systems most of the day is a function of the position. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to focus. This position requires working in an indoor, environmentally controlled environment when in the office.
