Project Coordinator (Scribe)

The Project Coordinator (Scribe) will provide essential administrative and documentation support to the MME PMO and State Project Managers for the Pharmacy Benefits Administration (PBA) and Provider Enrollment (PE) modernization initiatives. This role ensures that project governance, communication, and documentation processes are executed efficiently to maintain transparency, organization, and accountability across all teams.

Key Responsibilities
  • Meeting Coordination: Schedule project meetings, prepare agendas, and gather discussion topics from team members.
  • Documentation Support: Capture accurate and comprehensive meeting minutes; document and track action items, decisions, and next steps.
  • Project Tracking: Assist PMs with maintaining logs for risks, issues, decisions, and deliverables in compliance with MME PMO standards.
  • Content Management: Upload and manage project artifacts, deliverables, and supporting materials in SharePoint or other document repositories.
  • Communication & Reporting: Support the preparation of weekly and monthly project status updates for leadership review.
  • Quality & Compliance: Ensure all project documentation aligns with the State's PM methodology, naming conventions, and version-control requirements.
  • Collaboration: Work directly with the Zencon and State Project Managers to maintain project schedules, coordinate team logistics, and assist with audit or certification documentation as needed.
Qualifications
  • Minimum 2 years of experience capturing and distributing meeting minutes, documenting and tracking action items, and supporting project delivery teams.
  • Demonstrated experience coordinating meetings, preparing agendas, and managing project documentation.
  • Supporting state government IT or MMIS modernization projects.
  • Familiarity with Application Lifecycle Management (ALM) or similar project-tracking tools.
  • Experience working within a PMO environment.
  • Strong proficiency with Microsoft 365 (Word, Excel, Outlook, Teams, and SharePoint).
  • Excellent written and verbal communication skills; strong attention to detail and organization.
