Enters rooming list for groups into the Property Management System (PMS) and Sales System. Provides sales reports and communicates daily, weekly, and monthly reports as requested. Assists clients regarding room reservation, facility tours, etc. as requested by the Sales Manager. Responsibilities
Coordinates groups after booking, through arrival and after departure, including entering room lists for groups into Property Management System (PMS) and Sales System. Verifies completeness and accuracy of information. Sets up and maintains client files and records. Manages group blocks and cut‑off dates. Generates and distributes reports, paperwork and/or information for client groups in a timely manner. Manages billing and ensures payments are received. Assists with on‑site and off‑site tours of the hotel. Answers questions or concerns that the clients may have regarding rooms, hotel rates, and services. Prepares and distributes correspondence to clients and hotel staff and maintains control log of events. Provides guest service consistent with company’s standards and brand attributes. Ensures groups arriving on property experience excellent guest service and follows up after group departs. Responds to requests and resolves internal and external guests’ complaints in a timely manner or refers to the appropriate management team. Continuously strives to improve processes and effectiveness of internal systems and procedures. Works to understand process flow and makes recommendations to streamline processes. Ensures that a clean, safe, hazard‑free work environment is maintained. Adheres to all company and department policies, procedures, and standard operating guidelines. Performs other duties as assigned. Does not provide supervision to other team members. Qualifications
High school diploma or general education degree (GED). Must be 21 years of age or older. 1–2 years of related experience and/or training preferred. Guest service, sales, or administrative experience preferred. Good verbal, written, and interpersonal communication skills. Ongoing guest service and hospitality skills. Detail‑oriented, organized, self‑motivated, and values teamwork. Working knowledge of Microsoft Office, Word, PowerPoint, and Excel. Ability to work in a professional high‑pressure environment while demonstrating and maintaining good personal relations and a positive attitude. Ability to multitask and work well under stress. Must be a self‑starter and able to adjust to change. Must be able to work flexible hours during the day or evening including weekends, holidays, and all blackout dates. Hiring Preference
