Role Description Reporting to the Director of Operations, the Sales Coordinator will support Sales Engineers in promoting and selling HVAC/R systems. The role is the primary point of contact for incoming leads, ensuring timely follow‑up and providing operational and administrative support for proposals, pricing, and documentation. This role contributes to generating business in target markets and maintaining total customer satisfaction.
Responsibilities
Manage Sales Leads:
Act as the lead point of contact for all incoming sales leads
Respond with urgency to all customer requests
Support Pricing & Proposals:
Assist pricing efforts and other sales department needs
Respond with Urgency:
Act quickly and professionally to maintain excellent client service
Coordinate Documentation:
Assist sales staff with document management, maintaining accuracy and compliance
Collaborate with Sales Team:
Partner with Account Executives, Account Managers, and other team members to ensure seamless execution of sales activities
Maintain personal safety and promote a safe work environment
Assist Other Departments:
Work across departments as needed to support the entire business
Key Performance Metrics
Proposals monitored and flagged before 2‑week deadlines
Customer requests acknowledged promptly
Document management compliance
Sales team satisfaction rating
Compliance with safety policies and practices
Organizational Alignment This position reports directly to the Branch Leader.
Qualifications
Prior experience in sales support, customer service, or related administrative role
Strong organizational and time‑management skills; ability to manage deadlines
Commitment to excellent customer service by building trusting relationships
Strong communication skills with focus on follow‑through
Collaborative mindset and willingness to proactively support the sales team
Attention to detail and accountability in following processes
Behavioral Profile
Language Skills: Read/write business communications, present information clearly in one‑on‑one and small group settings
Mathematical Skills: Basic arithmetic, percentages, ratios, spreadsheets, data entry
Reasoning Ability: Problem‑solving, prioritize tasks, adapt to changing priorities, handle confidential information with sound judgment
Physical Demands: Sit regularly, use hands for typing, communicate clearly; occasional standing/walking/lifting up to 25 pounds; vision requirements for computer work
