Intake Coordinator

The Intake Coordinator is a full-time administrative and supervisory professional responsible for overseeing intake and discharge operations for outpatient mental health, day rehabilitation, Assertive Community Treatment (ACT), and substance use disorder (SUD) treatment programs. This role supervises Intake Specialists, ensures timely and accurate processing of referrals, insurance verification, admissions, and discharges, supports proper case assignment to clinical assessors, and maintains efficient, compliant intake workflows across multiple behavioral health service lines. The Intake Coordinator is expected to hold and maintain an active clinical license in the District of Columbia.

Supervise and provide day-to-day oversight, guidance, and support to Intake Specialists and Clinical Assessors involved in intake, assessment coordination, and discharge workflows. Coordinate intake operations for outpatient mental health, day rehabilitation, ACT, and SUD treatment programs to ensure timely, accurate, and efficient processing of referrals and admissions. Monitor insurance verification, intake documentation, discharge paperwork, and case processing workflows to ensure completeness, accuracy, and timeliness. Review vetted cases and oversee assignment to Clinical Assessors to support prompt assessment scheduling and service access. Serve as the primary administrative point of coordination for intake-related communication with internal staff, referral sources, and other authorized parties. Track intake volume, census activity, pending cases, admissions, and discharges across programs and prepare routine reports for leadership.

Ensure intake and discharge records are maintained accurately in the EHR and related systems in compliance with privacy, documentation, and agency requirements. Identify workflow issues, support process improvement, and reinforce standardized intake procedures across behavioral health programs. Collaborate with the Clinical Director and program leadership to support operational efficiency, timely access to services, and continuity of care during admissions and discharges.

Master's degree or higher in counseling, social work, psychology, behavioral health, or a related clinical field required. Must hold and maintain an active clinical license in the District of Columbia in good standing, as required for the role. Experience in behavioral health intake, admissions, discharge coordination, insurance verification, medical records, or a related administrative support role required. Prior supervisory, lead, or coordinator experience preferred. Proficiency with Microsoft Office, electronic health records, and document management systems used in behavioral health or healthcare settings. Strong organizational, leadership, communication, problem-solving, confidentiality, and documentation skills in a fast-paced, multi-program environment. Full-time schedule during regular business hours. Reliable attendance, punctuality, and responsiveness are required. May be expected to assist with urgent intake coordination needs across programs. This role is based in an outpatient behavioral health office, clinic, or community program setting and involves routine computer, phone, recordkeeping, staff supervision, and administrative coordination related to admissions, intake operations, transitions of care, and discharges for mental health, day rehabilitation, ACT, and SUD treatment services. Performance standards include ensuring timely, complete, and accurate intake and discharge processes across assigned behavioral health programs, providing effective supervision and support to Intake Specialists and Clinical Assessors, maintaining organized, compliant, and confidential intake records and workflow systems, and promoting efficient case assignment, service access, and coordination with clinical teams.
