We are seeking an early in career Project Coordinator to support our Health Insurer client's Executive PMO. In this role, you will work closely with senior leaders and project managers to drive enterprise priorities, organizational initiatives, and cross-departmental goals. You’ll help leaders stay organized, track commitments, prepare deliverables, and ensure follow-through. The Project Coordinator will serve as central support between leadership, project managers, and external partners, prepare executive‑ready documentation, support basic budget tracking, and help translate discussions into clear deliverables.
This position requires strong organizational and communication skills, adaptability to changing priorities, and experience with Microsoft 365 tools. Responsibilities
Support senior leaders and project managers with planning, coordination, and execution of enterprise‑wide initiatives
Capture and distribute meeting notes, action items, decisions, and follow‑ups
Track project tasks, deadlines, and dependencies across multiple initiatives
Assist with portfolio‑level activities, including annual planning, intake tracking, deadline management for submissions and change requests, and weekly/ad‑hoc status reporting across the PMO
Act as a coordination hub between project managers, leadership, and external partners
Prepare and maintain presentations, summaries, and executive‑ready documentation
Support basic budget tracking and status awareness
Help project managers translate discussions into clear deliverables and next steps, especially where structure is still forming
Adapt to changing priorities as the organization goes through growth and realignment
Required
Experience supporting projects, programs, or leadership teams in a coordinator, PMO, or administrative PM role
Strong organizational skills and ability to manage multiple priorities
Working knowledge of Agile concepts and tools
Consistent attention to detail and follow‑up to keep work progressing
Clear, confident written and verbal communication, especially with senior leaders
Comfortable collaborating across teams with varying styles, tools, and expectations
Professional, service‑oriented mindset and strong teamwork skills
Adaptable to change in a growing and evolving organization
Experience with Microsoft 365 tools
Nice to Have
Certification in Program management, project management or similar field
Experience with JIRA
