Coordinate and track international shipments from origin through warehouse delivery.
Manage ISF filings, PO tracking, document review, last free day monitoring, warehouse manifests, and goods receipt activities.
Monitor shipment milestones including ETA, port arrival, customs clearance, warehouse receipt, and delivery status.
Maintain accurate shipment data within SAP/ERP systems to support inventory planning and supply chain visibility.
Collaborate with steamship lines, carriers, customs brokers, and logistics providers to ensure efficient cargo movement.
FDA & Regulatory Coordination
Monitor FDA examinations, holds, import alerts, and other regulatory activities affecting inbound shipments.
Communicate FDA hold reports and regulatory updates to internal stakeholders.
Partner with Quality Assurance, customs brokers, and warehouse teams to manage detained, restricted, or non-compliant inventory.
Coordinate and track resolution of FDA-rejected, delayed, or detained shipments through completion.
Documentation & Compliance
Review and validate commercial invoices, packing lists, COAs, and regulatory documentation.
Ensure all import documentation is accurate, complete, and compliant before ERP/SAP processing.
Maintain organized records of customs entries, FDA filings, and shipment documentation.
Support compliance with U.S. Customs regulations, FDA requirements, and company policies.
Warehouse Coordination
Provide operational instructions to warehouses regarding inbound shipments and FDA-held inventory.
Coordinate product release activities in partnership with Quality Assurance teams.
Respond to warehouse inquiries related to shipment manifests, inventory transfers, and product status.
Ensure timely communication regarding inbound inventory availability and regulatory restrictions.
Support Accounts Payable and Finance teams with documentation required for invoice processing and reconciliation.
Review customs broker, steamship line, carrier, and freight invoices for accuracy.
Follow up with suppliers and logistics partners to obtain missing or corrected documentation required for customs and FDA clearance.
Assist with freight and logistics cost tracking and reporting.
Cross-Functional Collaboration
Partner closely with Purchasing, Quality Assurance, Commercial, Warehouse, and Logistics teams.
Coordinate with suppliers, customs brokers, freight forwarders, and transportation providers to resolve shipment issues.
Ensure alignment across departments regarding shipment priorities, inventory status, and regulatory concerns.
Provide timely updates on critical supply chain activities and exceptions.
Reporting & Analysis
Prepare and distribute FDA hold reports, shipment status updates, inventory movement reports, and related metrics.
Track container status, regulatory risks, and supply chain performance indicators.
Analyze trends, identify risks, and elevate concerns to management with recommended solutions.
Support data-driven decision-making through reporting and operational analysis.
Issue Resolution & Continuous Improvement
Investigate shipment delays, compliance issues, and operational challenges.
Collaborate with internal and external stakeholders to identify root causes and corrective actions.
Recommend process improvements to enhance efficiency, compliance, and supply chain performance.
Support continuous improvement initiatives across inbound logistics operations.
Other Duties
Assist with general inbound logistics activities, documentation processing, and special projects as needed.
Support the Inbound Logistics Supervisor in reviewing customs broker, steamship line, and carrier invoices.
Request and validate supporting documentation when required.
Perform additional duties and responsibilities as assigned by management.
Skills & Qualifications
Bachelor's degree in supply chain management, Business Administration, Logistics, or a related field; equivalent experience may be considered.
3+ years of experience in inbound logistics, import operations, supply chain coordination, or related field.
Experience working with SAP or other ERP systems.
Working knowledge of FDA regulations, U.S. Customs procedures, import documentation, and international shipping processes.
Strong organizational, analytical, and problem-solving abilities.
Excellent communication and relationship-building skills.
Ability to manage multiple priorities in a fast-paced environment while maintaining attention to detail.
Proficiency in Microsoft Excel and reporting tools.
Preferred Qualifications
Experience within the seafood, food manufacturing, food distribution, produce, protein, or CPG industries.
Experience managing FDA holds, import alerts, examinations, and regulatory reporting.
SAP experience, preferably with MRP and inventory management modules.
Experience supporting high-volume inventory environments and global supply chain operations.
Knowledge of international freight forwarding, customs brokerage, and warehouse operations.
