Public Safety Testing Coordinator (Part Time) The Public Safety Testing Coordinator supports the preparation, distribution, processing, and tracking of examination materials and assessment-related logistics. This role ensures accuracy, efficiency, and compliance in all aspects of test material handling, shipping, data sheet processing, and inventory management. This permanent (part-time) role provides flexible working arrangements between Monday and Friday, averaging 20 hours per week. The role is performed at our Talogy Pittsburgh, PA office. The daily impact of this role is characterized by (though not limited to) the following core skills and tasks:
Exam Material Preparation & Production
Produce examination materials, including copying test booklets, assembling scan sheets, and preparing assessment center materials (e.g., training binders, assessor rating booklets). Ensure all materials are complete, accurate, and prepared according to established standards and timelines.
Inventory Management
Maintain inventory of supplies required for exam production, testing needs, and shipping. Monitor stock levels and coordinate replenishment to avoid operational disruptions.
Packaging & Shipping Logistics
Package exam materials and supplies for shipment to clients and consultants. Prepare shipments, including labelling, securing, weighing, and documentation. Coordinate with shipping carriers to arrange and track deliveries. Ensure compliance with shipping and handling procedures for sensitive materials.
Records & Billing Support
Maintain accurate shipping records, receipts, and billing documentation. Support reconciliation of shipping expenses and tracking of related costs.
Receiving & Material Processing
Receive returned materials from test administrations. Unpack, sort, and organize materials for short-term and long-term storage. Prepare returned scan sheets for processing and data capture.
Data Capture & Processing
Scan answer sheets and verify data accuracy. Prepare and transfer data files to the scoring team in a timely manner. Maintain organized filing systems for physical answer sheets and records.
Candidate Communication & Support
Print, assemble, and distribute candidate notices (e.g., results, feedback) when mailing of notifications is required.
The following qualifications and experiences are considered foundational requirements for this role:
Strong organizational and attention-to-detail skills. Experience with logistics, shipping, or operations support preferred. Ability to manage multiple tasks and meet deadlines in a fast-paced environment. Proficiency in basic computer applications (e.g., Excel, data entry systems). Ability to lift and move boxes/materials as needed. Proficient in operating and maintaining office equipment such as copiers, printers, scanners to support daily business operations Experience in testing, assessment, or educational services environments preferred. Familiarity with data processing or scanning workflows.
