Yellowjacket Maintenance is seeking an experienced Dispatch Administrator to oversee and optimize dispatch operations for a growing field service and maintenance organization. This role is responsible for managing scheduling operations, leading offshore dispatch teams, improving technician utilization, and ensuring maintenance services are executed efficiently and on time.
This is an ideal opportunity for candidates with experience in field service dispatching, maintenance coordination, routing, scheduling optimization, service operations, or technician dispatch management within industries such as maintenance, facilities services, HVAC, plumbing, electrical, construction, or property services.
Key Responsibilities
Dispatch Operations Management
Lead, train, and supervise a team of offshore dispatchers Coordinate and schedule maintenance technicians efficiently across service territories Conduct daily dispatch scrum meetings to review priorities and deliverables Review scheduled service appointments and adjust technician routing as needed Ensure follow-up appointments and client updates are completed after service visits Provide dispatch coverage during staffing absences or high-volume periods Monitor technician workload distribution and field resource utilization Ensure contractual maintenance services are completed on schedule Scheduling & Routing Optimization
Optimize dispatch schedules to maximize technician efficiency and daily utilization Improve routing and scheduling workflows to reduce downtime and increase productivity Analyze service capacity, labor allocation, and operational bottlenecksAdjust schedules proactively to meet operational and revenue goals
Reporting & Performance Analytics
Pull and analyze dispatch performance reports daily Track KPIs including: Technician utilization Service completion rates Response times Scheduling efficiency Revenue projections Identify service delays or communication gaps and implement corrective action Present operational insights and performance trends to leadership
Client Communication & Service Coordination
Serve as liaison between dispatch, field technicians, clients, and leadership Resolve scheduling conflicts, service escalations, and client concerns Maintain proactive communication regarding service timelines and updates Conduct client feedback discussions to improve service delivery
Process Improvement & Workflow Management
Evaluate dispatch workflows and operational procedures regularly Identify inefficiencies in scheduling, routing, or service coordination Implement process improvements to enhance operational performance Support continuous improvement initiatives across field operations
Requirements
Required Experience
3+ years of dispatching, field service coordination, or dispatch management experience Experience managing high-volume scheduling operations Prior leadership or supervisory experience preferred Experience coordinating maintenance technicians or field service teams Preferred Industry Background
