We are looking for a Operations & Sales Coordinator to help manage and support our back‑end operations and sales administration as we continue to grow.
The Role This role is designed for an adaptable self‑starter who excels at managing variety and utilizes modern technology to streamline everyday tasks. Operating across both Operations & Leadership Support and Sales Administration , you will seamlessly connect our day‑to‑day business delivery with our outbound sales pipeline.
While you’ll enjoy the autonomy of working from home, you will also handle essential local, in‑person logistical errands across the Austin area when necessary. This role requires continuous context‑switching: you will go from collaborating with our Operations Manager on internal AI workflow optimizations, to managing local errands, to using outbound tech to research leads and drive sales team follow‑ups. Because the agency environment moves quickly, this role demands high availability, absolute reliability, and a strong work ethic. You must be comfortable working flexible hours—including late nights or weekends during peak seasons—to ensure our backend systems and pipeline run flawlessly.
Core Responsibilities Agency Operations & Leadership Support (50%)
Leadership & Daily Operations Support: Act as a critical partner to our Operations Manager and agency leadership, assisting with the day‑to‑day operational tasks that keep the agency running smoothly.
Client Lifecycle Administration: Assist with both client onboarding and offboarding processes, ensuring a seamless, professional experience from initial kick‑off to project wrap‑up.
Contracts & Agreements: Assist with the creation of client contracts and manage the distribution, tracking, and execution of NDAs and MNDAs (Mutual Non‑Disclosure Agreements) as needed.
Internal AI Workflow Optimization: Proactively design, implement, and improve internal AI‑driven workflows to automate routine tasks, streamline communication, and make the team’s daily lives easier.
Logistics, Events & Errands: Manage company event registrations and coordinate team travel logistics. Handle occasional in‑person logistical and operational errand runs around the Austin area.
Sales Administration & Outbound Growth (50%)
Own the AI Outbound Process: Take the reins of our outbound sales engine. You will own and manage our AI‑driven prospecting systems to launch, track, and optimize outbound outreach campaigns.
Targeted Prospecting & Research: Put on your detective hat. You’ll research ecommerce industries, fast‑growing DTC brands, and key decision‑makers to identify exactly who we should reach out to, building high‑quality lead lists.
Sales Team Support & Follow‑Ups: Act as the right hand to our sales team. You’ll assist them in managing active leads, drafting and sending timely follow‑up emails, and keeping prospects warm and engaged.
CRM Mastermind: Own our CRM data integrity. You’ll track the sales pipeline, update deal stages, and ensure no new lead, team follow‑up, or AI‑generated response falls through the cracks.
Proposal Support: Partner with agency leads to format, polish, and dispatch beautiful proposals and pitch decks.
Qualifications
Experience: 3+ years of experience in an Operations or Sales role.
Marketing Background: 1 year of experience in a marketing role is preferred.
Location & Mobility: Based in the Austin, TX area, with a reliable vehicle is required for local logistics and errands.
AI Tech Savvy: Highly comfortable using AI tools (e.g., ChatGPT, Claude) to optimize everyday tasks and workflows.
Zero‑Error Mindset: Deeply detail‑oriented with a strict "zero‑error" standard for data and contracts.
Executive Communication: Able to communicate effectively, confidently, and professionally with high‑level stakeholders.
Autonomy & Ambiguity: Comfortable with ambiguity and able to work almost entirely autonomously in a remote setup.
Agency Pace: A fast learner who is quick on their feet and thrives in a high‑velocity, fast‑paced environment.
Benefits
Compensation: Pay Range of $55,000 - $60,000 base salary.
