As Recruitment Administrator, you will work alongside the HR team to recruit the best available talent, by providing efficient, accurate and timely support. In this role, you will assist with end-to-end recruitment administration, act as first point of contact for all recruitment queries and liaise with hiring managers and candidates throughout the recruitment process. WHAT YOULL DO The Recruitment Administrator will be a core member of the HR team and have key responsibility for end-to-end recruitment administration, as well as being the first point of contact for all candidate queries. Working as a team player and communicating in an effective manner with colleagues and candidates will be an essential component of the role. Your main duties and responsibilities will be: Recruitment Administration Post job advertisements on all agreed internal and external channels, ensuring consistent formatting across all advertisements and all channels Acknowledge and track all applications received Schedule all rounds of interviews, including diary management of internal colleagues and ensure the needs of candidates and interview panels are met Ensure interview packs are made available to all members of interview panel as appropriate Carry out reference checking and other post-interview checks as required, including Garda Vetting where applicable (acting as a Vetting Liaison) Draft contracts for newly hired Night Nurses for approval by the HR Manager. Other administrative support to the team as required Engagement and promotion Be alert to new recruitment and advertising channels and make suggestions for new ways for the Society to attract talent Draft engaging and informative job advertisements to attract talent and encourage interest from internal and/or external applicants Draft content for our recruitment webpage, and make suggestions to ensure that it is an engaging and exciting representation of our employer brand Process improvement Proactively seek and gather feedback from candidates, recruits and hiring managers, about the recruitment process and share with the team Identify ways to improve and streamline the recruitment and on-boarding process and, with the support and guidance of the HR Manager and HR team, implement changes Generate and update templates, process documents and guides to the recruitment process to a high standard Maintain recruitment processes, policies and guides Record Keeping and Reporting Maintain vacancy schedule, ensuring it is kept updated with the status of all vacancies Keep up to date records of applications received for each role and keep records updated throughout the recruitment process Ensure all relevant recruitment documentation is filed, in line with GDPR and maintained in line with data retention schedule Prepare metrics and recruitment status reports monthly, annually and as required Communication and Teamwork Maintain the Recruitment inbox, ensuring all queries are responded to in a timely manner Liaise with candidates at all stages of the recruitment process and ensure updates and outcomes are communicated to them timely and efficiently Liaise with hiring managers, providing updates as required Work with the team to progress candidates from recruitment to employment stages Maintain confidentiality at all times, and ensure rigorous compliance with the General Data Protection Regulations (GDPR) Provide cover for Reception as required WHO YOU ARE Qualifications and Experience Previous administrative experience in any sector desirable. The Irish Cancer Society measures experience by the quality of the experience gained, rather than number of years worked. Experience working in recruitment or HR is preferable, but not essential. The successful candidate will either have experience working in recruitment or HR, or be able to demonstrate an interest in HR and explain how their skills can transfer to this role. Experience working with databases or a recruitment system is an advantage. Effective communicator: you will have excellent and engaging communication (verbal and written) and interpersonal skills with an ability to build relationships Technology savvy: you will have a high level of proficiency in the MS Office suite, and experience of working with databases, as well as using technology to support internal processes. Curious and proactive: you will be interested in HR and recruitment and keen to develop and grow your skills, in a supportive environment. You will be proactive about identifying opportunities to improve how we work.
